Job description

This position is located in the Court Department of the City of East Point under the supervision of the Court Liaison. The Warrant Clerk will be responsible for processing all warrants issued by the Municipal court including running histories via the Georgia Crime Information Center (GCIC) and the National Crime Information Center (NCIC) preparing records for police entry into GCIC for wanted persons.

Major Duties

  • Responsible for receiving warrants from the Municipal Court Clerk's Office, preparing warrants and information for entry by police into GCIC/NCIC, and clearing appropriate warrants when served or validation problems.
  • Prepares individual file folders and files the warrants in the appropriate warrant file within the Court Department, maintains files of active, inactive and served or cleared warrants.
  • May be required to contact other law enforcement agencies or businesses to enlist their assistance and cooperation in the service of outstanding warrants.
  • Responsible for contacting, locating and updating data as it pertains to wanted persons.
  • Performs computer checks of all individuals coming to the attention of the department to determine if warrants are active and advise appropriate personnel.
  • Attend training sessions as required by Department, City of East Point and GCIC.
  • Processes probation warrants.
  • Conducts monthly warrant validation and audits.
  • Ensures distribution of all bench warrants signed by a Judge.
  • Assists Court Liaison with maintaining all returned search warrants that are presented to the court clerk's office.
  • Performs general office work as required, and performs other duties as required or directed by supervisors.

Minimum Qualifications

Graduation from high school or equivalent; Must be GCIC certified. The incumbent is required to have knowledge of GCIC/NCIC to include policy and procedures, confidentiality of information contained within the system. He/she is required to take refresher courses in the operation/policies and procedures pertaining to these systems as necessary to maintain currency. The incumbent must possess general office skills, a thorough knowledge of professional filing practices, telephone skills, typing skills of at least 55 words per minute with accuracy more important than speed, interpersonal communication skills both oral and written, basic computer skills, and a general knowledge of office machines.

  • Knowledge of modern office practices, methods, equipment, and standard clerical procedures
  • Knowledge of basic bookkeeping practices
  • Knowledge of basic math and accounting practices
  • Knowledge of appropriate contacts for related police and court issues
  • Skill in operating a computer and entering data into a database.
  • Ability to operate GCIC to run criminal and driving history reports.
  • Ability to read and comprehend various technical reports and legal terminology.
  • Ability to handle confidential information.

Supervisory Controls:
Work is performed under the supervision of the Court Liaison.
Guidelines:
Guidelines include City and Departmental policies, procedures, codes, and ordinances; Federal, State and Local laws; and GCIC Rules and Regulations.
Complexity:
This position consists of a variety of clerical and administrative duties.
Scope and Effect:
The purpose of this position is to ensure the effective and efficient daily operations of the municipal court.

Contacts are typically with co-workers, attorneys, judges, solicitors, other law enforcement agencies and the general public.

Physical Demands: The work is typically performed with an employee sitting at a desk but does require the ability to ambulate up and down stairs. Sometimes, the employee may be required to stand and walk frequently. The employee uses tools or equipment requiring dexterity.
