Job Summary

The Volunteer Program Manager oversees Loggerhead Marinelife Center1s (LMC) highly successful Volunteer Program including its appreciation and recognition initiatives, volunteer staff development programs and communications. Primary responsibilities include the recruitment, training and daily management of volunteer personnel and volunteer support programs. The Volunteer Program Manager is responsible for upholding LMC service standards in volunteer-led efforts and fostering an inclusive culture of learning, appreciation and respect. Develops, implements and maintains informed, best practice procedures and policies for LMC Volunteer Program and maintains high visibility with volunteers.

Core Responsibilities

  • Designs, develops and implements training resources and support for all Volunteer Program staff.
  • Works with Vice President of Education and Human Resources to develop, implement and ensure compliance of Volunteer Handbook policies and procedures across the volunteer community.
  • Ensures timely, accurate and clear communication of LMC happenings, resources, important documents, and other pertinent information through daily shift meetings, Volunteer Dashboard, weekly newsletters and periodic, ancillary updates as needed.
  • Manages LMC1s Volunteer Advisory Council (VAC) and administers annual surveys to collect critical feedback, inform policies or procedures, and continually improve volunteer engagement.
  • Develops and manages Volunteer Program recruitment strategy, retention efforts and ensures overall success of Volunteer Program to meet programmatic department needs.
  • Establishes diverse volunteer recruitment pipelines through third party programs, schools, residential communities and community organizations, resulting in a diverse volunteer community reflective of South Florida.
  • Develop and coordinate volunteer recognition and appreciation events and initiatives year-round including National Volunteer Appreciation Week, seasonal celebrations, individual achievement recognition, etc.
  • Manages volunteer onboarding events and run of show, ensuring adherence to schedule, quality and appropriate training opportunities are provided, and an overall exceptional training experience for new volunteers is achieved.
  • Coordinates and manages onsite facilitation of volunteer service groups.
  • Manage volunteer uniform inventory and ensure uniform compliance on and off campus.
  • Planning, development and facilitation of semi-annual All-Volunteer Meetings
  • Solicits, tracks, identifies and communicates opportunities for improved volunteer engagement, recognition, appreciation and development.
  • Prepares and coordinates the daily volunteer schedule through volunteer management software program ensuring ample volunteer assistance for scheduled programming, exhibit interpretation and hospital interpretation.
  • Coordinates closely with Department leads' requests for volunteer-led programming, including tours, special events, after-hours events, sea turtle releases and seasonal educational programming.
  • Develops and implements contingency plans for ensuring ample volunteer assistance during periods of traditionally high volunteer absenteeism, such as holidays and school breaks.
  • Ensures cleanliness and exceptional functionality of Volunteer staff spaces, including Staff Lounge
  • Offer support for department-specific volunteer training sessions, including co-facilitation as needed.
  • Other duties as assigned.

Required Skills, Knowledge, and Experience

  • Higher education degree preferred but not Four (4) years relevant experience in education, human resources and/or human-centered project management strongly, preferred.
  • Proficiency in data-driven approaches that use key performance indicators to determine and track Volunteer Program impact.
  • Demonstrated excellence in communication (written, oral, and public) and experience with conflict management, mediation and relationship management.
  • Prioritizes attention to detail and finds satisfaction in recognizing and supporting individuals dedicated to serving a common mission.
  • Technical proficiency in cloud-based collaboration platforms and tools (Microsoft Office, Google Suite, Office 365, DropBox, Zoom, Slack, etc.).

Annually we reach 900,000 guests with our transformational STEM education programs and partner with nearly 200 organizations across six continents and 16 countries in ocean conservation. The employee must frequently lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. This position may involve working outdoors in Florida, often in hot and humid conditions, and at events that extend into evening and weekend hours. Must be willing and able to travel for offsite programming and possess a valid driver's license.

This is a salaried and exempt position. The successful incumbent may be required to perform tasks beyond the scope of this job description as requested by the supervisor. This recruitment may be used to select candidates for additional open positions. It is our policy that all team members, including newly hired, transferred, and promoted team members, will be carefully monitored and evaluated for an initial introductory 3-month period on the job. After satisfactory completion of the introductory evaluation, such team members will be evaluated on an annual basis.
