Organizational Overview

The Flathead Food Bank (FFB) in Kalispell, Montana is seeking an experienced and passionate Volunteer & Kitchen Coordinator. Since 1982, the Flathead Food Bank has served individuals in Kalispell and neighboring communities through our Kalispell store and mobile pantry (Kila, Marion, Martin City). Thousands of individuals receive food through one of our pantries, in addition to 1400 kids that take home weekend Back Pack food bags, and 400 seniors receive their monthly Commodity Supplemental Food Program (CSFP).

Position Overview

Under the direct supervision of the Executive Director and Pantry Manager, the Volunteer Coordinator is responsible for leading the volunteer program, providing supervision to volunteers, and plays a key role in supporting the daily store operations and warehouse.

REQUIREMENTS INCLUDE:

· Work collaboratively within a team environment and have a willingness to assist other co-workers and volunteers with a wide range of tasks as needed.

· Strong oral and written communication skills with the ability to communicate effectively and professionally with a wide range of people including other staff, volunteers, clients, donors, social service agencies, businesses, and the general public.

· Demonstrated organizational skills and detail-oriented to support the balance of a wide range of tasks and responsibilities including multi-tasking, prioritizing and delegating tasks when necessary.

· Be self-motivated, self-directed, and take initiative in performing a wide variety of tasks in a fast-paced, dynamic work environment.

· Proficiency in the operation of common computer applications such as Microsoft Word, Excel, Outlook, as well as the ability to maintain databases and learn new applications as necessary.

· Obtain on-the-job training to safely operate a forklift and pallet jack and to operate other small equipment related to FFB warehouse management and store operations.

· Obtain ServSafe certification after being hired and adhere to safe food handling practices.

· Be open-minded and flexible with regard to the work performed.

· Exercise safe workplace policies and procedures and effectively communicate adherence of policies to volunteers and other staff.

SPECIAL JOB SPECIFIC REQUIREMENTS:

· Stand and/or walk for long periods of time; bend, twist, kneel and stoop; pull, push or carry heavy objects, including the ability to lift up to 50 pounds, with reasonable accommodation.

· Walk up and down steps to reach and retrieve boxes and other items from shelves.

· Perform the essential functions of the position with reasonable accommodation.

· Work within a range of temperature-controlled environments including but not limited to handling cold or frozen items and retrieving items from walk-in coolers and freezers as well as organizing coolers.

· Possess and maintain a valid Montana state driver’s license and have a clean driving record.

· Work a Monday through Thursday schedule.

· Must have the ability to be physically active for long periods of time and to work within a fast-paced environment.

· A criminal background check may be required.

JOB RESPONSIBILITIES:

Volunteer Program:

· Lead the volunteer program and provide direct supervision to volunteers.

· Recruit, train, schedule, supervise and evaluate community volunteers including groups, community service volunteers, and practicum students.

· Coordinate, assign, and supervise volunteer work tasks and responsibilities, assuring that the volunteers have the tools necessary to effectively perform their work.

· Maintain database and track the number of volunteers, volunteer duties, and volunteer hours weekly.

· Provide monthly statistics on the number of volunteers and volunteer hours logged.

· Administer the volunteer application process and maintain volunteer application forms.

· Maintain and update volunteer contact information.

· Organize and provide volunteer orientation, volunteer training, and overall guidance as it relates to food safety, safe food handling practices, and coordination/organization of the store and onsite warehouse.

· Plan and implement volunteer training sessions.

· Collaborate with other staff to schedule monthly drivers and assembly line volunteers for the Back Pack and Commodity Supplemental Food Program (CSFP).

· Administer the volunteer recognition program and work with the support of the Development Coordinator to coordinate volunteer recognition events.

· Collaborate with the Development Coordinator Coordinator in securing, coordinating and assigning volunteers for special events and food drives including but not limited to Great Fish Community Challenge, fundraising events and others.

· Other duties as assigned.

Store Operations

· Provide support to the daily store operations.

· Work with other staff and volunteers to assure the store is neatly stocked on a daily basis.

· Receive, weigh and record food donations.

· Provide support to clean and maintain store order as needed.

· Coordinate & lead volunteer groups.

· Observe back stock of nonperishable items and coordinate with the Program Pantry Manager to ensure sufficient inventory supply in the store.

· Observe back stock of perishable items and establish daily distribution limits based on available inventory.

· Develop a detailed knowledge of overall store operations, including noticing trends, patterns, and discrepancies; coordinate the required support needed to cover busy periods and/or personnel shortages to sufficiently support the services provided through the store.

· Assist with the client intake screening process, interviewing station, and maintenance of client database if needed.

· Other duties as assigned.

Other Program Support

· This position also covers for the absence of the Warehouse and Pantry Manager which can include moving pallets, receiving deliveries, cleaning, etc. weighing Grocery Rescue items in and moving them to the appropriate storage location (cooler, freezer, warehouse, etc.)

Hours set at 7-5

Closed Fridays (Occasionally could need to come in on a Friday)

The Flathead Food Bank currently offers vision and an extensive package for paid time off (PTO).

Job Type: Full-time

Pay: $20.00 per hour

Expected hours: 40 per week
