LifeGuides Virtual Events Coordinator Job Description
Position Overview
LifeGuides is a company benefit in support of employee well-being using a peer-to-peer, experiential approach. We are looking for a highly detailed Virtual Events Coordinator (VEC), which includes planning, executing, and managing Virtual Events – custom client events, monthly panel discussions, webinars, other online gatherings – for the LifeGuides members. This role involves coordinating all aspects of Virtual Events, from initial planning to post-event evaluation.
The foundation of this position is built on strong organizational skills, open communication, and collaboration. The ideal VEC is a creative thinker, proactive planner, and with the ability to quickly execute on ideas.
This position would be a part of the LifeGuides Client Success team and report directly to the Head of Client Success.
VEC Responsibilities
Event Planning
- Collaborate with internal stakeholders to understand event objectives, target audience, and desired outcomes
- Develop comprehensive event plans, including timelines and logistical requirements
Event Promotion
- Develop marketing strategies to promote Virtual Events and increase attendance
- Coordinate with the marketing team to create compelling event content, including email campaigns and digital assets
Technical Setup
- Oversee the technical aspects of Virtual Events, including platform setup, attendee registration, and troubleshooting any technical issues that may arise during the event
- Ensure all necessary equipment, software, and connectivity are in place
Speaker Management
- Coordinate with speakers & panelists to gather presentation materials, technical requirements, and ensure smooth integration within the virtual event platform
- Communicate event details and expectations to all participants
Attendee Engagement
- Implement strategies to enhance attendee engagement during Virtual Events
- Facilitate Q&A sessions, chat interactions, polls, and networking opportunities
- Encourage audience participation and ensure a positive user experience
Content Management
- Manage & organize event content, including pre-recorded presentations, live sessions, and supporting materials
- Ensure content is readily accessible and available for on-demand viewing after the event
Data Analysis & Reporting
- Monitor event metrics, such as attendance, engagement, and feedback
- Collect & analyze data to measure event success and identify areas for improvement
- Generate post-event reports summarizing key findings
Post-Event Follow-up
- Conduct post-event evaluations/surveys and gather feedback from attendees & speakers
- Share findings with the team and implement recommendations for future events
- Maintain relationships with event participants for future engagement opportunities
VEC Skill Qualifications
Hard Skills
- Proven experience in planning & executing Virtual Events
- Proficient in virtual event platforms & tools (Zoom, Microsoft Teams, Google Meets, etc.)
- Strong project management skills with the ability to prioritize tasks and meet deadlines
- Technical proficiency and troubleshooting skills
- Familiarity with marketing and promotional strategies

This opportunity is on a part-time, as-needed, contract basis, Monday through Friday. The hourly pay range is $20-30 per hour, based on experience.
