Title: ULBGC RD Data & Donor Coordinator
Reports To: Senior Director of Advancement & Major Gifts
Summary of Position:
Under the supervision of the Senior Director of Advancement and Major Gifts, the Data and Donor Coordinator is a key member of the Resource Development (RD) team. These managing duties support overall donor relations and interfacing with internal and external constituents of Union League Boys and Girls Clubs (ULBGC). To be successful in this role, the Coordinator must be self-motivated and excel at balancing multiple projects. The Coordinator should be highly detail-oriented with a critical degree of accuracy regarding data entry.
Primary Responsibilities:
Gift Processing and Acknowledgement
- Timely gift entry of donations. This includes but is not limited to Checks, ACH, grants, event tickets, sponsorships, third-party donation software, and other forms of payment.
- Generate accurate, consistent, timely gift acknowledgment letters and tax receipts for all gifts, including event donors.
- Collaborate with the Finance department on audit requests and regular reconciliation for all gifts and post events.
- Develop and produce accurate queries, exports, reports, and lists for mailings, newsletters, and event invitations and moves management promptly and systematically.
- Build a suite of timely reports that will help determine fundraising strategies, event revenue, and donor segmentation.
- Manage a grant calendar to track essential report dates for the RD Team.
- Manage monthly new donor outreach.
Database Maintenance and Reporting
- Maintain a CRM database that ensures the integrity of the data and maximizes fundraising success, including updating duplicates, deceased or inactive constituents, bad addresses, and donor solicitation preference.
- Provide support and training of staff members in use of CRM.
Additional Responsibilities:
- Participate and manage event committee and department meetings and prepare meeting minutes within 48 hours after the call.
- Support events pre and post-events.
- Function as a team player, providing confidential and professional support to the RD team.
- Support the RD Team in developing healthy relations with donors.
Requirements
Education and Preferred Qualifications/Skills
- Bachelor's degree
- Minimum of at least two years of experience in a development setting. Candidate should have experience with interfacing with donors and volunteers, report generation utilizing a CRM system, data entry and analysis and project management.
- Have a data-driven mindset and understanding of organizing and presenting data and technical support to users of all levels and backgrounds.
- Experience with Microsoft Suite.
- Respect for data integrity and all ULBGC Donors' records and giving is 100% confidential.
- Excellent interpersonal and customer relations skills.

Work Location and Schedule - Based at Headquarters, Monday through Friday, weekends and evenings as needed.
Salary Description
$45,000 - $55,000
