Summary Description: This position is responsible for the continuous coordination, support, and monitoring of Corporate and Senior Executives travel itineraries to ensure an excellent customer experience. Interact with these travelers to enhance the customer experience. Works proactively with Executives and/or support teams to build a travel ‘culture’ of customized service, and collaborative issue resolution.
Responsibilities:
- Provides concierge level of support to Corporate and Senior Leadership team to manage pre-arrival planning, lodging accommodations, transportation needs, post-booking operations and overall trip management.
- Assists with inquiries, develops trip proposals, manages execution of travel arrangements and member communication.
- Assists team with day-to-day projects and deliverables; including pre-trip preparation, coordination, and general preparation.
- Initiates discovery calls with members while maintaining accurate notes for the itinerary request process with vendors, continues communication with pre-trip call, and follows-up with members once trips are completed.
- Reviews vendor itineraries in depth for accuracy before submission to members, during revision period, and prior to trip departure with all final trip documents
- Assists in the development of preferred accommodation options by brainstorming ideas for destinations and/or venues to add to the portfolio.
- Researches and maintains a growing knowledge of frequently traveled destinations, and available resources for travelers.
- On occasion, partners with team to maintain tracking and inventory systems to manage contractual assets (rooming list, reservations, signage, etc.), timelines for special events, budgets, and vendor information.
- Manages Trip Records tracking and attaches all documentation for internal viewers. Coordinates billing payments and invoicing for trips.
- Assists in data collection of guest information for Whataburger trips. Manages collection of this information as primary direct liaison between VIP travel onsite agent, Travel Management Company, and VIP travelers.
- Develops and implements concierge travel management best practices, policies and procedures.
- Continuously monitors, manages and communicates travel needs and changes for VIP travelers.
- Handles traveler complaints when necessary and resolves issues quickly.
- Assumes additional responsibilities as assigned.
Education:
- Bachelor’s degree in hospitality management or services or equivalent work experience required
Experience:
- Experience in contributing to the management of projects is preferred
- Direct travel agency experience preferred
- 1+ years’ of similar job-related experience or event planning experience preferred
- Travel industry knowledge and background preferred
- Experience working with corporate executives
- 1+ years’ experience preferably in hospitality or travel industry
Knowledge, SKILLS, AND ABILITIES:
- Proficiency in MS Office Word, Excel, Outlook, Power Point and Visio (as applicable)
- Proficiency in JD Edwards (as applicable)
- Ability to communicate well with the general public and experience in establishing and maintaining an effective working relationship with management, vendors, and co-workers
- Ability to work in a team environment
- Understanding of travel booking methods and restrictions
- Conflict resolution skills when dealing with member and vendor relationships
- Ability to develop strong relationships and manage multiple partners, vendors, and programs
- Must have strong communication skills (verbally and written) with the ability to present experience plans to internal teams and external partners
- Solid spreadsheet background – ability to understand and create basic financial models in Excel
- Self-driven with maintaining a personal schedule to accomplish daily tasks

- Flexible, willing to answer travel discrepancy relation questions, be available for issues that arise with member travel
Working Conditions/Travel Requirements:
- Expected to work the necessary time to satisfactorily fulfill job responsibilities
- Must be able to report to work timely and as required by operational/business needs
- Must be able to work a full-time schedule and work outside of normal business hours when necessary
- Some travel, both locally and long distances, (including air travel), to worksites, meeting sites, and other locations may be necessary
