Job description

Position title:Transport Specialist

Status: Non-Exempt

Department: Operations

Reports to: Manager Transport

Location: Peachtree City, Georgia

Position Summary

The Transport Specialist is a member of the local Transport team and is responsible for organizing all aspects regarding the collection and transport of incoming goods. Additionally, the Transport Specialist requests and coordinates freight quotes for inbound and outbound shipments (domestic and international) to find best cost-benefit ratio and follows up on issues related to these shipments when required to keep the pickup and delivery time as short as possible.


Responsibilities

Ensures daily execution/ processing of:

  • Prepare and (administrative) processing of importing and exporting of shipments.
  • Maintain contact with customers and couriers by e-mail and phone
  • Monitor the progress of shipments and solving issues when required
  • Request and negotiate quotations for freight shipments, including white glove services/special services
  • Request and track Project Management approvals of both inbound and outbound freight quotations
  • Book, and confirm space on flights, freight, cargo, and other transportation methods
  • Create, manage, and distribute as needed relevant international documentation, e.g. booking Requests, proforma – and commercial invoices, COA’s, carrier delivery orders and other requirements
  • Review and amend documentation provided by local teams at international sites
  • Follow-up with carriers, manage pre-alerts daily, and maintain record of all communications in files
  • Assist in coordination and communication for timely clearance of shipments
  • Attend assigned training and workshops to maintain and advance knowledge of equipment and services provided by the company and industry standards

Maintains Quality Service and Departmental Standards by:

  • Reading, understanding and adhering to company procedures, policies and standard operating procedures (“SOP’s”)
  • Contribute to the achievement of designated departmental key performance indicators (KPI).
  • Maintain current knowledge of new trends and innovations in the field of Dangerous Goods and import: evaluate their impact, and suggest improvements
  • Ensuring compliance to applicable safety and security standards, procedures and policies

Contributes to team effort by:

  • Exploring new opportunities to add value to organization and departmental processes
  • Helping others to accomplish results
  • Performing other duties as assigned and deemed necessary

Qualifications

  • Relevant Bachelor’s degree or equivalent working proficiency through experience
  • At least 3 years working experience in an administrative/customer service environment
  • Excellent interpersonal and communication skills in English, both verbal and written, and preferably a second foreign language
  • Knowledge of ISO 9001:2015
  • Knowledge in incoterms and HTS codes, preferred
  • Working with computer software including MS office applications
  • Training and understanding of Good Clinical Practice (GCP)
  • Detail oriented with excellent organizational and planning skills
  • Dangerous Goods certification, preferred

Working Conditions

  • Lifting and Carrying: Able to carry up to 10 pounds on an intermittent basis
  • Hearing: Corrected hearing able to respond to emergency alarms, alerts, and warnings Ability to hear via telephone, teleconference, and work-related conversations
  • Pushing/Pulling/Manipulation: Able to push and pull items in the workplace
  • Sitting: Able to sit and work in front of a computer or other machine for extended periods of time
  • Squatting/Kneeling: Able to squat and kneel as needed to retrieve or place items on low shelving
  • Standing: Able to stand for extended periods of time
  • Physical requirements are like a moderate activity job
