Program/Project Specialist for Training and Compliance and Employee Engagement

About the Job:
The Program/Project Specialist is responsible for overseeing and coordinating initiatives and administrative projects across Research Animal Resources (RAR) to support training and compliance and employee engagement. This position supports and will report to the Director of Training and Compliance by managing employee training and compliance records, and planning and coordinating programs that support occupational health and other training requirements. This position will also work with the Deputy Chief of Staff by leading projects and initiatives that support employee engagement. The successful candidate will be a detail-oriented self-starter who effectively builds positive relationships with colleagues at all levels of the organization, and who uses discretion to maintain confidentiality while delivering results in accordance with established policies and timelines.
50% Training/Compliance Projects and Support
  • Enter completed training into the Training Hub system daily and follow up on incomplete information
  • Ensures completion of RAR Orientation and compliance with the Research Occupational Health Program (ROHP) requirements
  • Facilitate and manage logistics of RAR clinics (audiograms, flu shots, tuberculosis, etc.) to support compliance with ROHP - develop schedules with nurses, reserve rooms, coordinate equipment setup/delivery, etc.
  • Provide support for other special projects as assigned by the RAR Director of Training and Compliance

30% Coordinate Employee Engagement Programs and Initiatives
  • Coordinate and provide support for departmental team building initiatives and employee recognition events
  • Support the employee engagement survey process and manage the reporting of employee engagement efforts throughout the year
  • Coordinate the employee shoe stipend program
  • Provide coordination and support for RAR’s annual Patrick J. Manning Award program
  • Serve as department ambassador for the University’s annual Community Fund Drive
  • Serve as department Wellbeing Champion - promote within RAR the University’s wellbeing program and associated events/opportunities, bring colleagues’ ideas and comments back to the wellbeing program administrators, attend semi-annual Wellbeing Champion retreats, etc.
  • Participate on RAR committees including the “RAT Pack” employee recognition and appreciation team
  • Foster new opportunities to promote employee engagement within the department

10% Provide Coordination and Support for Department HR Processes
  • As requested, coordinate interview schedules and logistics, escort interview candidates through secured RAR spaces, assist with travel arrangements, etc.
  • Provide support for other HR processes upon request of the departmental HR liaison

10% Other Administrative Projects and Duties
  • Provide backup coverage for other administrative staff
  • Provide administrative support for special projects and tasks as requested by members of the senior leadership team
