Purpose

The Registration Manager administers development, analysis, and improvement of registration processes for the industry leading SEMA Show, uniting an international community of 170,000+ automotive aftermarket professionals and enthusiasts. This highly detail-oriented, fast-paced position requires knowledge and coordination of all registration systems, vendors, internal and support staff, along with interaction with SEMA membership and attendee communities. The role also includes registration management of the annual Exhibitor Summit, along with evaluation of new vendors, techniques, and ideas to improve registration services. All responsibilities will achieve the Association’s goals of producing the industry’s leading events, providing best-in-class customer service, and continuously improving to better serve our global community.

Responsibilities:

  • Administers implementation of all aspects of the SEMA Show registration process including coordination with registration vendor, internal staff, and external partners. Ensures online and on-site systems function effectively and open on targeted dates.

  • Hires, trains, and manages Show-site temporary staff, contributes to design of traffic and workflows of registration area, and coordinates on-site management of all registration activities.

  • Submits work orders to plan for all on-site needs. Collaborates with department coworkers on items needed for effective Show registration.

  • Hires, trains, and manages pre-Show temporary customer service team, coordinating phone, email, and other contact methods with members and attendees to ensure all registration questions and concerns receive timely follow-up.

  • Liaisons with registration vendor to mitigate all customer service and registration issues.

  • Manages all aspects of the pre-show qualification/approval process for attendees, exhibitors, and other registration types including hiring, training and supervision of temporary personnel that will aid in the vetting process.

  • Executes invitation and visa letter process to allow international visitors to attend SEMA events.

  • Coordinates delivery of summary and historical registration information and reports on a timely basis.

  • Works with Trade Show Director on the compilation of post-SEMA Show analysis reports. Collects information from all stakeholders including registration data and historical comparisons.

  • Assists process to prepare annual fiscal budgets including all appropriate registration costs and invoice reconciliation.

  • Supports maintenance of all registration records in CRM, maintains proper record keeping and coordinates use by internal stakeholders.

  • Contributes to process for scheduling of messages to registered and prospect attendees and works with marketing department and Trade Show Director on timely and effective communications.

  • Implements registration process for the annual SEMA Show Exhibitor Summit, working with Trade Show Director on registration approvals and historical comparisons.

  • Helps evaluate vendors and contributes innovative ideas to create best in class registration experiences.

  • When directed by Trade Show Director, VP of Events, or other SEMA management, performs other assignments and duties as required.

Relationships

  • Reports to the Trade Show Director.

  • Interfaces with Show Department stakeholders, support staff personnel and other divisions and Directors as needed.

  • Communicates regularly with Association members, vendors, exhibitors, prospect exhibitors, and attendees.

Skills and Knowledge Required

  • Must be able to work in-person in Diamond Bar, CA office each workday.

  • Demonstrates an open mindset committed to self-evaluation and improvement.

  • Effective oral and written communication, organizational, managerial, and typing skills. Must be detailed-oriented.

  • An associate or college degree and experience (3-5 years) in the Trade Show industry, performing similar duties with the stated necessary appropriate skills or proficiencies.

  • Knowledge of office equipment, computer systems and software, including NetForum, Basecamp, Expocad, Great Plains, Microsoft Word, Excel, PowerPoint, and Access a plus.

  • Ability to travel to and attend SEMA Shows and events as well as other industry events, as necessary.
