SUMMARY
The Office Specialist will work directly with the Office Administrator and be responsible for several duties. The Office Specialist works independently performing a wide range of complex and confidential administrative and clerical support duties. Requires excellent communication and interpersonal skills and the ability to provide information and service to a wide range of internal and external contacts. The Office Specialist will work as a liaison for The Furniture Outlet.
DUTIES AND RESPONSIBILITIES INCLUDE:
• Open the store (turn on lights, stock fridge with waters, and make sure all TVs are on)
• Run applications
• Creating Invoices
• Answering phones
• Filing, Copying, and Faxing paperwork
• Order all Merchandise
• Make sure all arriving merchandise was loaded and arrived in good condition
• Make claims for incoming damages with manufactures
• Make sure credits are issued on any damaged merchandise
• Request funding for completed clients
• Keep available inventory up to date
• Handle any customer complaints
• Schedule clients for delivery and pick ups
• Assure picks ups and delivery items are picked up and checked prior to being loaded
• Makes sure the warehouse team has a list of duties to do.
• Make sure all paperwork has signatures
• Give prices to the sales team
• Write checks to manufactures
• Process any billing disputes
• Make bank deposits
• Go over invoices with each sales guy to make sure everything was entered correctly.
• Send Jaime to repair minor damages
• Follow up with clients who are pending merchandise or a repair
• Close up store (throw trash, make sure everything is locked up, set alarm)
• Schedule meetings and appointments.
• Manages executive schedule and acts as a liaison for the executive team when working with corporate departments to request documents, reports, etc.
• Maintain an organized filing system of paper and electronic documents.
• Uphold a strict level of confidentiality.
• Develop and sustain a level of professionalism among staff and external customers.
• Completes occasional miscellaneous tasks.

• Evaluation of processes and progressive of team
EXPERIENCE REQUIRED:
• Proficient computer skills, including Microsoft Office Suite, scheduling appointments/updating calendars a must.
• Excellent written and verbal communication skills
• Excellent time management and prioritization skills
• Valid driver’s license preferred
