Position Overview:
We are seeking a detail-oriented and organized individual to join our Human Resources- Diversity Recruiting team as a Recruiting Coordinator focused on data entry, event planning and candidate engagement support. This role will play a critical part in supporting our recruiting efforts and maintaining accurate records. The ideal candidate will possess strong data entry skills, a high level of accuracy, and excellent communication abilities.
You’ll help our recruiters and our hiring teams ensure that our candidates have an amazing experience during each step of the hiring process. You’ll also join and contribute to the wider People Team in supporting all of our organization.

In the position you will work with internal stakeholders that demand exceptional communication abilities. You approach tasks with keen attention to detail, accuracy, and optimal efficiency. You are a team player and is accountable for your work and follow through whey you say you will.

Responsibilities:
  • This person, working with others, will coordinate interview schedules for candidates and will also assist with various logistics surrounding the lateral partner interview process.
  • Prepares and coordinates multiple candidate interview schedules weekly; anticipates partners’ needs based on calendars and adjusts interview schedules as needed.
  • Coordinates virtual interviews by Microsoft Teams; ensures interviews are started and executed flawlessly.
  • Prepares and sends candidate pre-interview materials; updates and maintains candidate materials on an ongoing basis.
  • Sends interview evaluation forms to internal partners and monitors completion of evaluation forms; follows up with partners as needed.
  • Maintains tracking sheets, Lead for regular updates and ensures all candidates are entered into tracking database accurately.

Pay Range
$27.16 – $32.87

Hours
Monday – Friday; 8:00 a.m. – 5:00 p.m.

Telework opportunities may be available after an initial training period. Work schedules must be at least 50% hybrid in the office within a two (2) week period and are implemented to meet the requirements of the department and are subject to change based on business needs.

Duties, Functions and Responsibilities
Essential duties and functions, pursuant to the Americans with Disabilities Act, may include the following. Other related duties may be assigned.
  • Identifies individuals who meet the optimal criteria for employment and attracts/recruits them for employment.
  • Develops long-term communication plans and recruitment strategies to achieve optimal staffing levels.
  • Establishes working relationships with department education programs, placement agencies, colleges, technical schools and other entities with the objective of increasing access to qualified applicants.
  • May serve as department representative at recruitment events, job fairs, etc.
  • Writes advertisements for newspapers, professional journals, internet websites, and other media. Provide regular releases on various social media sites in order to promote recruiting efforts.
  • Update, revise, and manage the recruiting units’ internet presence.
  • Develop long-term marketing plans, and conduct market research to establish where needs are.
  • Develop promotional/advertising media in various formats to include videos, pamphlets, fliers, and posters.
  • Coordinates hiring processes and testing/evaluation sessions, and sets up and coordinates employment interviews.
  • May recommend qualified applicants to recruiting and/or executive staff.
  • Keeps informed of developments in such areas as wages and salaries, employee benefits, City of Austin personnel practices and departmental needs.
