Job description

The Receptionist will serve as an ambassador to SPARC. This individual is responsible for providing exceptional service to the business by greeting/assisting all visitors and answering and transferring incoming calls. They will also be responsible for administrative duties that support the successful operation of the Facilities team.


• Greet and welcome all visitors into the office in a professional and courteous manner.
• Log all visitors, notify associates of all visitors and maintain visitor log and supplies.
• Answer all incoming calls and respond to company voicemail messages in a timely manner.
• Respond to NY Office email inbox inquiries in a timely manner.
• Support NY Office as well as various internal departments from the NJ office in arranging meeting schedules, food, and set up for all conference rooms and hoteling stations.
• Schedule meeting rooms based upon availability and needs and respond to all associate requests; coordinate with internal partners to ensure all meeting room requirements are met.
• Manage the mail room by sorting and distributing the mail, processing all outgoing mail to be ready for shipment through the post office, UPS, or Fed-Ex for all domestic and international packages.
• Order and maintain office supplies.
• Responsible for various administrative duties (filing, coping, message retrieval) as necessary.

• Travel may be required, based on business needs.
• Adhere to regular in-office presence, including to engage in in-person team interaction, meetings and collaboration. Job duties may be performed effectively using the hybrid work program designated by the company.
• Perform other duties as assigned by supervisor as the company retains the right to change duties to this position.
• Must have authorization to work in the United States.

 

Physical Requirements:
• Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards.
• Ability to maintain regular and timely attendance consistent with the ADA, FMLA, and other federal, state and local standards and Company’s policy.
• Ability to remain in a stationary position for up to 8 hours per day
• Ability to constantly operate a computer, other office equipment and look at a monitor for up to 8 hours per day
• Ability to clearly and accurately communicate and exchange information verbally, in writing, or through other means in person, telephonically, or through virtual communication methods
• Ability to position self to reach at or below shoulder level
• Ability to carry equipment, move boxes/samples, etc.

 


The salary range for this position is $18.00 to $20.00 per hour. Pay is based on several factors, including but not limited to position offered and work experience.
