Under the general supervision of the Assistant Director for Occupancy Management, the Temporary Coordinator of Housing Occupancy and Marketing is responsible for every aspect of the housing process for students from marketing to room placement. marketing, processing, placement, removal, and withdrawal of housing occupancy for all residence halls and all Mines Park apartment housing, overseeing an estimated 2500-bed operation. The Temporary Coordinator of Housing Occupancy and Marketing serves on the professional staff team for the Department of Residence Life ("the department") and implements the goals and objectives of the department daily. The Temporary Coordinator of Housing Occupancy and Marketing will oversee applications, contracts, and placement utilizing departmental and university-wide software systems. Marketing and communication from the department to potential and current students and families will originate with this position. The responsibilities of this position are outlined below but may change as the needs of students, the department, and Colorado School of Mines change.


This is a full-time temporary position that requires some flexible scheduling depending on the time of year.


RESPONSIBILITIES

  • Under the general direction of the Assistant Director for Occupancy Management, the Temporary Coordinator of Housing Occupancy and Marketing directs all functions related to housing assignments for all campus housing (Residence Halls, Greek Housing, Apartments, and summer assignments) for students including the assignments for ~2500 bed spaces on campus, initiation of policies related to assignment priorities and procedures, and interpretation of policy to students, staff, and family members. This position intends to be able to expand and grow along with our department as on-campus housing numbers increase.

  • Directs collaboration with third-party campus partner, Star Rez, to ensure functions of the housing management software are working for the department through regular and thorough testing, development of the student housing application, and management of PortalX housing portal.
    • Update process graphs in PortalX to configure and edit applications for yearly housing application processes, including first-year, second-year, themed learning, summer, and Greek Housing students.
    • Building reports in Star Rez to pull data, focusing on each specialized population in housing (Residence Halls, Greek Housing, Apartment, and Summer assignments) to distribute to campus partners.
    • Review, monitor, and evaluate all aspects of housing placement, including student housing applications, contracts, and placement utilizing the StarRez software system and the PortalX housing application portal.
    • Complete all billing processes and software interactions for student information. Includes setting dates, room configurations, housing rates, new terms, meal plans, check-in and check-out of students, open and close portals, exporting files to campus partners and internally; testing each process to ensure proper function and positive student experience.

  • Manage the development of the department's internal and external facing software including:
    • Housing management software (StarRez)
      • This position is the departmental PowerUser
    • Website (WordPress)
    • Residence Life's social media accounts

  • Banner and Workday
    • Work alongside the Residence Life Administrative Assistant to ensure that rent and utilities for Mines Park Apartments are run within the campus databases each month.

  • Responsible for website content development, communication, and evaluation of information posted across all external-facing media regarding the Department of Residence Life
    • Recurring development of departmental marketing, highlighting all Mines on-campus housing options, to get the most information to students who are prospective first-year students, all the way to graduate and family members living on-campus.
    • Develop and implement marketing strategies for all applicants to understand the entire application process, from the time a student is accepted to the institution, through their graduation.

  • Assess processes, and procedures to ensure that the student experience with housing placement is user-friendly and student-focused.


Salary and Benefits


$28 per hour

Mines takes into consideration a combination of candidate's education, training and experience as well as the position's scope and complexity, the discretion and latitude required in the role, work location, and external market and internal value when determining a salary level for potential new employees.

Minimum Qualifications

  • Bachelor's Degree in a relevant discipline, or an equivalent combination of education and experience
  • Progressive and extensive experience working within a higher education setting; understanding of student services.
  • Understanding of a university's yearly housing, assignments, and operations cycle
  • Demonstrated ability to relate to individuals and groups with widely varying backgrounds, perspectives, education, and skills.
  • A sense of humor. Our work is serious, but we can't take ourselves too seriously.
  • University and Residence life-focused marketing and content creation
  • Multi-tasking and organizational skills with a high attention to detail


Preferred Qualifications

  • Bachelor's degree in a relevant discipline, or an equivalent combination of education and experience
  • Experience and progression within university Housing Operations, assignments, marketing, residence life
  • Past or current experience using StarRez housing management system, including PortalX
  • Using SQL/database query language
  • Banner, MS Office suite, Workday Enterprise Management.
  • WordPress website management.
  • Experience working with apartment leases and yearly processes.
