Job description

This position is on-site. We currently do not offer hybrid or remote work for this role.

GENERAL SUMMARY:

Oversees the internal documentation within TARC. Creates documentation standards for all departments to follow, assists in documentation creation, provides feedback on created documents, and manages the document control process. This position will support a safety and customer service culture through programs, procedures, and other related work to achieve TARC’s mission and strategic outcomes. The position is responsible for meeting or exceeding all TARC policies and procedures with strict adherence to all local, state, and federal regulations; and performing related duties as assigned.

None.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assists in creation of a document control process for the organization.
  • Assists in creation of templates for internally controlled documents.
  • Manages document control process for the organization.
  • Works with Marketing Department to ensure design standards are followed on all internal documents.
  • Works with IT Department to ensure approved documents, unapproved documents, and old document revisions are stored in desired locations.
  • Works with Training Department to assign out documents to be reviewed as needed.
  • Work with Directors to ensure internal documents follow proper formatting standards.
  • Assist with writing internal documents such as: standard operating procedures and work instructions upon request from Directors.
  • Updates existing internal documents to updated approved templates.
  • Attends and participates in professional group meetings; stays abreast of new trends and innovations in document control processes; researches emerging products and enhancements and their applicability to TARC’s needs.
  • Performs other job-related duties as requested.


MINIMUM EDUCATION AND EXPERIENCE:

  • High school diploma or GED
  • Three (3) years of experience writing technical documents
  • Possession of, or ability to obtain, a valid Kentucky or Indiana Driver's License


KNOWLEDGE, SKILLS, AND ABILITIES:

  • Advanced principles, practices, and techniques of operations programs, policies, and operational needs.
  • Traditional and modern job training methods and techniques such as, but not limited to, interactive e-learning, videos, written documentation, assessments, VR/AR, and instructor-led training.
  • Training resources and equipment.
  • Principles and practices of employee training and development.
  • Various methods and techniques to reach mutually agreeable solutions and outcomes.
  • The structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Computers and software programs (e.g., Microsoft software packages) to conduct research, assess information, and/or prepare documentation.
  • Assist in developing and implementing goals, objectives, practices, policies, procedures, work standards, and internal controls for the organization.
  • Coordinate multiple tasks simultaneously and work under tight deadlines independently or as a team member.
  • Maintain the confidentiality of any information encountered.
  • Handle all internal and external contacts with courtesy, diplomacy, and tact.
  • Communicate clearly and concisely, both orally and in writing, using appropriate English grammar and syntax.
  • Establish and maintain cooperative working relationships with those contacted in the course of business
  • Effectively use computer systems, applications, and modern business equipment to perform a variety of work tasks.


WORKING CONDITIONS:

A significant portion of this work is performed in the office or outdoors, in a moderately noisy setting. This position requires the incumbent to work outdoors throughout the TARC service area. When working outdoors the incumbent will be exposed to diesel fumes and/or airborne particles, and traffic (while driving and while inspecting stops or other project locations). Must be able to drive a TARC vehicle and be familiar with the TARC service area. Occasional lifting up to 50 lbs., walking, reaching, bending, and stooping.
