JOB SUMMARY

The fundamental job responsibilities for this position include assisting technologists in various areas of the Imaging Department with patient care including providing instructions regarding the test, preparation instructions and obtaining history from the patient. This position also entails receptionist duties including answering the phone, greeting the patient, entering and attending orders in the hospital computer system and remaining familiar with the patient scheduling system. Responsible for maintaining and updating patient records as required by the department via the hospital computer system and/or PACS. Will maintain supply inventory at all levels including ordering, stocking and maintaining expiration inventory. Will assist physicians within the department as required and will assist customers requesting imaging information.

Provides scheduling and pre-registration service for patients needing services, procedures, tests and appointments for one or more departments throughout Swedish Hospital. Verifies demographic information, insurance benefits and eligibility in order to ensure appropriate reimbursement for services. Provides outstanding customer service and satisfaction ensuring all patients feel welcome at SH. Enables easy, convenient access to the services they need in a friendly, efficient and timely manner. Functions within the Imaging Department as part of a team to provide superior service and satisfaction to all internal and external customers.

RESPONSIBILITIES

Essential Functions

* Demonstrates a commitment to the mission of Swedish Hospital and the Service Guild and demonstrates a service orientation and adheres to all responsibilities and standards of the Hospital and the Guild.

1. Assists technologist in preparing patient for procedures.

2. Scans and processes cassettes.

3. Inventory, orders and stocks supplies.

4. Transports patients.

5. Delivers preps and instructions to floors.

6. Assists doctor to view images on PACS.

7. Pre-pulls films for surgery, doctor's offices and Radiologist.

8. Digitizes images.

9. Updates folders, looks up and faxes reports to floors and doctor's offices.

10. Moves data from EPIC into PACS.

11. Runs taken list report to assure all films are dictated.

12. Back-up as receptionist in Radiology areas.

13. Prints out daily department schedules. Distributes messages, and pages doctors.

14. Registers and edits exams in computer / attends, cancels or no shows each patient.

Follows the AIDET model by consistently demonstrating professional and customer service focused behavior at all times, including manner of communication, responsibility and appearance.

Handles a high volume of inbound and outbound calls promptly, courteously, and in a caring friendly manner, ensuring outstanding customer service at all times.

Accurately, appropriately and efficiently schedules services, tests, procedures and appointments for multiple departments, adhering to specific department guidelines and protocols, ensuring service excellence at all times.

Responsible for entering appropriate Medicare Medical Necessity diagnosis and ICD-9 codes for exams in compliance with Local medical Review Policies.

Gathers complete and accurate patient type, demographic and billing information. Pre-registers patients in a timely and efficient manner.

Advises patient of any insurance authorization referral requirements and ensures timely transfer of registration information to ensure financial clearance and appropriate reimbursement.

Advises patients and provides them with any necessary prep, instructions appropriate to the scheduled test(s). Gives other directions, locations and instructions for check-in on the day of service (in writing when indicated).

Responsible for generating reports/letters in an accurate, efficient and timely manner.

Performs other duties as requested by the manager.

COMPUTER ACCESS LEVEL

Computer system access is assigned based on manager's access level request and on the minimum necessary as described in this description. Approval for level of access is given by the system administrator or manager of the department that has ownership of system/module.

PATIENT CARE/AGE SPECIFIC RESPONSIBILITIES AND QUALIFICATIONS

"This position will need to recognize needs and behaviors of a variety of age groups of patients treated, i.e., understand child growth and development, normal patterns of adolescent behavior and look for signs of normal aging; prior experience with various age groups is preferred."

QUALIFICATIONS/BASIC JOB REQUIREMENTS

• High School Graduate

• Excellent interpersonal and customer service skills utilizing the AIDET model.

• Basic knowledge of medical terminology, anatomy and physiology and coding.

• Knowledge of clinical office or department general policies and practices.

• Keyboarding at 45wpm.

• EPIC experience a plus

• Working knowledge of MS Office applications (Word, Excel, PowerPoint), intranet/internet and web-based portal functionality.

• Knowledge of Medicare, Public Aid, and managed care payment and reimbursement requirements.

• Ability to prioritize and organize tasks, and to maintain flexibility in response to constantly changing demands

• Ability to concentrate and remain composed in a busy, distracting office environment in high-pressure situations.

• Ability to interact positively and effectively with multiple departments.

• Ability to use good judgment and utilize independent decision-making skills to effectively problem solve, resolve issues and facilitate department efficiency and productivity.

• Ability to prioritize and organize tasks and to maintain flexibility in response to constantly changing demands.
