POSITION DESCRIPTION
Title: Talent Acquisition Administrator
Reports To: Team Lead, Talent Acquisition Operations
FLSA Status: Non-Exempt

As a Talent Acquisition Administrator, your essential job functions will include the following:
Support of Talent Acquisition Administration
  • Manage candidates through applicant tracking system to process hires, transfers and promotions.
  • Review for accuracy and process new hire offer letters as submitted by the Talent Acquisition team, keeping the recruiters updated throughout the process.
  • Manage candidates through offer process and pre-employment screening steps, such as background check, motor vehicle records (MVR) checks, drug screens, Department of Transportation (DOT) requirements, and additional processes as required.
    • Regularly review background check and MVR results in accordance with Dealer Tire's pre-employment matrix.
    • Partner with the Employee Relations team on assessments and assist in communicating results.
    • Manage the adverse action process as outlined by the Fair Credit Reporting Act (FCRA)
    • Provide candidates with guidance on the DOT Application and medical card processes for all DOT driving positions and ensure compliance with all DOT processes.
    • Administer drug screen processes and ensure compliance with Dealer Tire guidelines.
    • Expedite the pre-employment screening process through regular monitoring, vendor management and proactive communication.
    • Act as key contact for pre-employment screening vendor
  • Communicate and set expectations with candidates for each component of the pre-employment process and provide status updates to both the candidates and the Talent Acquisition team.
  • Communicate changes in start date with all relevant parties and follow process for updating paperwork and systems.
  • Complete new associate files; including but not limited to Form I-9's in compliance with Department of Homeland Security United States Citizenship Immigration Services standards and new hire associate paperwork
    • Lead and participate in Form I-9 audit and necessary training
    • Assist with scheduling DC Tours; new hire photos, and other new hire needs.
  • Complete new associate DOT files; including the completion of the Road Test Certificate within 30 days of hire and noting if an associate was termed before part of the file could be completed.
    • Partner with DTU Help, HRIS and Safety team to ensure proper reporting and completion of the Road Test Certificates
  • Administer promotion and transfer process from offer letter creation to submission to the Compensation Department.
  • Coordinate on-boarding information with hiring managers and Human Resource staff for all employee transfers and new hires.
  • Assist Talent Acquisition team with administrative duties as needed.
  • Assist Associate Experience team with achieving goals and completing projects.
  • Assist with special projects and groups/teams, including but not limited to policy and process development, re-engineering of processes to build efficiencies, system implementations and enhancements and process audits.
  • Ensure compliance of TA staff with regards to TA SOPs

Reporting
  • Update/manage/enhance recruiting reports and dashboards.
  • Review and improve existing reporting processes through suggestions and/or partnering with HRIS team

Company Policies
  • Thoroughly understand the Dealer Tire handbook.
  • Assist in identifying opportunities and making recommendations to improve various HR programs and procedures as necessary.

Employment Law
  • Understand Federal laws as they relate to hiring.
  • Understand State laws in states where Dealer Tire conducts business.

Other Duties as Assigned
Position Requirements
  • Associate or Bachelor degree required, equivalent work experience may be considered in lieu of degree.
  • 1+ years of Talent Acquisition or Human Resources experience required.
  • Excellent attention to detail.
  • Intermediate Microsoft Office skills (including Excel for analysis purposes).
  • Strong written and verbal communication and customer service skills

Physical Job Requirements
  • Continuous viewing from and inputting data to a computer screen.
  • Sitting for long periods of time.
  • Travel - when necessary, <10%.

The compensation offered for this position will depend on qualifications, experience, and geographic location. The total compensation package may also include commission, bonus or profit sharing.
