Position Summary:

This role is a trusted salesforce software and efficiency systems expert that supports the overall operations of the organization. The executive team and all staff rely on this role as a technical expert and project manager, as well as a friendly, approachable problem solver. Reporting directly to the COO and working closely with key personnel from all departments, the Systems Efficiency Manager troubleshoots errors and issues within our fully customized Salesforce org; liaises with outside consultants and add-in providers; completely understand the work of all departments in order to deliver systems-based solutions within salesforce that meet rigorous covenant compliance controls; and will be relied on to deliver on the efficiency of all systems and operations.

Full Job Responsibilities:

  • Understand and engage with all departments to improve their processes and systems. This includes keen big-picture AND detail-oriented solutioning ability; strong cause-and-effect mapping to avoid creating new problems; strong organization skills; strong execution skills; and strong communication skills
  • Manage and execute projects with transparency, accuracy, and urgency
  • Recognize and resolve data input or data gathering issues to support all teams’ ability to provide complex impact/outcome metrics.
  • Complete multiple planned and in-progress buildout projects that rely on new objects and integrations or improvement of existing layouts and workflows. This will provide real-time data transparency and auditable management trails.
  • Manage recommendation, implementation, and updates of Apps within Salesforce to improve operational systems within the organization whenever needed.
  • Use emotional intelligence to communicate with staff in an approachable, respectful way
  • Oversee Data Specialist to ensure reports and data are clean, accurate, and timely.
  • Perform typical Salesforce Admin duties and other duties as assigned.

Typical Project and Oversight Examples:

  • Build and maintain new “Employee Time Allocation” objects that translate payroll and grant allocations into budget parameters; add approval processes and notifications for finalizations and compliance; provide needed list views and reports to Accounting for final updates
  • Integrate live budgets from Quickbooks into related Opportunities
  • Support weekly all-staff Team Train
  • Strategize complex report creation that relies on reference objects that must be maintained to match federal data
  • Resolve internal Cases related to complex flow errors, rollups or formulas
  • Support integration of Operations processes into Salesforce, such as New Employee Onboarding

Minimum Qualifications

  • BA/A.A. or Equivalent Professional Experience of 5 years in this field
  • 2+ years of experience as an Expert Salesforce Admin
  • Expert at these Salesforce components and skills: formulas, approval processes, flows, custom app building, lightning page layouts, reports, quick action buttons, rollups
  • Expert at project management and execution
  • Proven ability to meet and exceed deadlines and expectations
  • Familiarity with the following product integrations:
  • Apsona (or similar for document merge and complex reporting)
  • Adobe Sign (or similar for e-signature)
  • Formstack (or similar intake form provider)
  • iATs Payments (or similar ACH and Card processor)
  • Managed Packages that require liaising with outside tech support

Desired Qualifications:

  • Exhibit strong logic skills
  • Demonstrate active listening skills
  • Excel at noticing and solving problems that require multiple steps and procedural updates
  • Familiarity or interest in learning about financial services/lending and small business ownership

Schedule & Location:

  • Full-time 40 hours per week, 8:30am-5pm
  • Offices located in Seattle, Portland and Anchorage.
  • Remote work option available to those residing anywhere in Washington state, Oregon, Idaho or Alaska.
