Job Summary:

The Department of Surgery/Residency Program at SUNY Downstate Health Sciences University is seeking a full-time Surgical Resident Coordinator.

The successful candidate will:

  • Play a pivotal role in managing the residency program and integral member of the residency's leadership team. The Resident Coordinator (RC) is the first contact point for prospective applications, professional organizations, institutional GME, and anyone else needing information or assistance in the residency program.
  • Serve as the liaison in many ways, including between the Program Director (PD) & residents & faculty, various administrative staff, etc.
  • Meet deadlines & coordinating the routine & ongoing responsibilities of the residency office (RO), such as and not limited to semiannual resident reviews, data collection & maintenance of documentation required for accreditation, recruitment, appointments/credentialing, budgeting/payroll.
  • Manage day-to-day operations of the residency program.
    Recognize and understand the policies implemented regarding General Surgery residency training from both ACGME and the American Board of Surgery (ABS).
  • Must be able to lead through change and manage up when new residency training requirements are implemented.
  • Direct residents to successfully navigate the administrative requirements established by institution GME and ACGME.
  • Organize required meetings for residency management (Clinical Competency Committee, Program Evaluation Meeting), and attend in conjunction with the Program Director.
  • Manage Intern recruitment, setup and coordinate the day-to-day operations to prepare the Program Director to create a rank list for the National Ranking and Matching Program and collating data after each recruitment day that then allows the Program Director to create a rank list for the National Ranking and Matching Program (NRMP).
  • In conjunction with the Program Director, maintain an electronic Accreditation Database System (ADS), provided by the ACGME to ensure that all data collected regarding the program is accurate; this includes scholarly activity, program sites, rotation schedules, and resident milestones entries. 
  • Be responsible for ensuring that the faculty portion of ADS is current throughout the year when new hires and departures occur.
  • Effectively communicate with Program Director, faculty, residents, staff, and other personnel that work for or with the General Surgery Residency Program (ACGME, ABS, etc.). This will include follow-up with incomplete requirements, informing Program Director when residents are behind in their meeting requirements, and verify that requirements are met before residents graduate.
  • Participate in professional development activities such as institution GME programs, webinars provided by ACGME, reading literature, etc.
  • Become a member of the Associate of Residency Administrators in Surgery (ARAS) and attend the annual conference in conjunction with the Association of Program Directors in Surgery.
  • Participate in the Department of surgery educational mission, including cross-coverage of undergraduate medical education when necessary; this will consist of training in the coordination and scheduling for the third and fourth-year medical students, international visiting students.

Required Qualifications:

  • A minimum of one to three year of working in medical education administration.
  • Knowledge of accreditation guidelines, strong written and oral communication skills, strong organizational and interpersonal skills, critical thinking skills, ability to work independently, ability to work on multiple projects at one time, ability to manage and complete projects are vital.
  • MS Office Suite, TEAMS, Zoom.
  • Working knowledge of Blackboard and New Innovations.

Preferred Qualifications:

Bachelor's Degree
C-TAGME preferred. Expected to obtain C-TAGME certification after completion of two years on the job.

Work Schedule:

Monday to Friday: 9 am to 5 pm
