Position Summary: The primary job function of the Surgery Scheduler is to perform all job duties associated with scheduling patients for surgeries, obstetrical procedures, diagnostic procedures, and oncology appointments. The Special Procedures Technician's job function is to provide patient centered medical care in an in-office setting according to the established guidelines. The surgeries include Colposcopy, LEEP, Urodynamics, Bladder Botox, Cystoscopy and Hysteroscopic procedures with and without sedation. Responsible for providing educational materials and documenting all pertinent information into the patient’s electronic medical record (EMR).
Essential Duties and Responsibilities
- Notifies the Surgical Billing Specialist of the surgical procedures that has been ordered by the physician for determination of insurance benefits.
- Once benefits have been communicated to the patient and the patient agrees to the surgical prepayment the surgery may then be scheduled.
- Schedules patient for surgical procedure to be performed at Baptist Health Louisville, Pre-Admission Testing (PAT), and signs surgical consent.
- The Special Procedures Technician will be the primary assistant for all patient cases for In Office Surgeries.
- Monitor abnormal Pap smear reports.
- Provides basic to complex patient education, pre-operative and post-operative instructions to the patient and schedules post-operative appointment according to physician guidelines.
- Maintains and updates current information on physician’s surgery schedules.
- Contacts patient’s insurance to obtain prior authorization as needed.
- Completes disability and FMLA forms and collects office standard fee.
- Schedules diagnostic procedure, outside appointments and home health referrals.
- Contacts patient’s insurance to obtain precertification for diagnostic procedures as needed.
- Reviews all pre surgical labs and call in prescriptions as needed.
- Obtains surgical pathology reports to be reviewed by physician.
- Responds to telephone, EMR and FMH messages.
- Documents all pertinent medical information into the patient’s electronic medical record (EMR).
- Assures compliance with HIPPA & OSHA regulations.
Qualifications, Skills and Knowledge Requirements
- 5 to7 years experience working in an obstetric and gynecology clinic or private office.
- 2 + years of Surgical scheduling experience a plus
- Knowledge of basic nursing principles, medical terminology, and protocols. Knowledge of policies and procedures related to infection control, environmental safety, and patient confidentiality. Proper knowledge of medical chart documentation.
- Must be able to use a variety of office equipment including telephone, PC, fax, and medical equipment including stethoscope and blood pressure cuff.
- Ability to work effectively with physicians, team members and other staff. Ability to appropriately interact with patients, families, staff, and others. Ability to flexibly respond to changing demands.
Physical Demands/Working Conditions
Job requires physical contact with patient. Varied activities including sitting, walking, lifting, bending, and pushing patients in a wheelchair.
Education
Completion of a Certified Medical Assistant, Licensed Practical Nursing or Licensed Surgical Technician program.
