PROVIDER SPECIALIST & CLINICAL OPERATIONS, SUPERVISOR
Springfield, Missouri
Job Summary:
Provider Specialist, Clinical Operations, provides support with non-billable tasks to the Clinical Operations departments providers. This position involves correspondence with referral sources as needed, to include diagnostic and service summaries. This role will also serve as a liaison between Clinical Operations providers and other departments, such as HIM, finance and ROI. This may include manual invoicing and completing and tracking authorizations. In addition, this role will assist with care coordination for provider caseloads. The Supervisor position will have added responsibility for oversight of data analysis of KPIs, referral relationship management, and nurturance of community contracts.
General Job Duties:
  • Determines appropriate referrals for service lines and clarifies referral questions with referral source as needed. Also understands nuances between different services and how to prioritize scheduling. Screens all customer contacts for service needs up to and including crisis, process calls accordingly.
  • Provides and maintains connection between the organization and outside referral base for client's needs. Interacts with, for example, physicians, attorneys, nurse case managers, insurance adjusters and is the contact point for department-specific specialty services.
    • Processes incoming and outgoing mail, email and faxes related to correspondences from external referral bases.
    • Answers and fields phone calls from community partners that are in relation to access.
    • As needed, sets up for depositions and manages the communications aspect if by telephone.
  • Makes non-billable calls on behalf of the providers and document the nature of the call in the clinical record. Assist with outreaching clients and enter documentation of outreach attempts.
  • Enters documentation into the electronic record that would not be billable for the Clinical Operations providers.
  • Assists with provider billing and invoicing, based on department-specific needs. Also based on department specific needs, performs verifications of benefits, and monitor Medicaid status to assure insurance is obtained and maintained during course of client's treatment with Burrell, when needed for Clinical Operations visits. Communicate areas of focus or concern to supervisory staff and supportive services.
  • Serves as a liaison between the Clinical Operations providers, HIM, Support Services, ROI, QI and Medicaid Personnel with goal of adhering to regulatory compliance expectations in the management of client charts.
    • Reviews and keeps current caseload grids for all clients on caseloads, including due dates, then prioritize and route information to staff routinely.
    • Assists Administrative Supervisors and Clinical Operations providers by monitoring caseload sizes, waitlists, cancellation lists, etc.
    • Assists with inputting/modifying provider appointments/schedules in the EHR, and transfers/discharges, and caseload management
    • Acts as a liaison to ROI to ensure documents and evaluations are routed to referral sources in a timely manner.
    • Assists with ensuring that clinical documents (internal and external) are routed and entered into the EHR, as needed.
  • Collaborates with supervisors and Clinical Operations providers to complete non-billable tasks related to regulatory responsibilities and timelines.
    • Performs required tasks related to the regulatory requirements of closing of client charts.
    • Assists and completes Intra-office Agency referrals as well as referrals as requested by the Clinical Operations providers and provides follow up for client and referral source as needed.
  • Serves as a scheduling liaison to the scheduling team by helping to scrub Clinical Operations providers' schedules, work with Administrative Supervisors, and/or work directly with providers to ensure schedules are maximized.
    • Maintains appointment system and schedule clients appropriately.
    • Performs all clerical tasks related to functioning to the office: sending appointment letters, appointment reminders, filing, reports, activity logs, and timely entry of information into tracking systems.
    • Collaborates with the scheduling department when Clinical Operations has provider terminations/resignations and requires caseload transfers to assist with ensuring clients do not experience a disruption in care.
    • Collaborates with Centralized Scheduling schedule scrubbers to assist with the identification of incorrect pairings and necessary transfers.
  • Assists providers in preparing for appointments, including with completion of initial paperwork, checking for legal paperwork, guardianship, etc. This may also include routing and tracking documents through DocuSign.
  • Obtains and manages records from outside sources prior to, at the time of, or obtaining after the evaluation, including tracking and accessing the outside records within our system.
  • Aggregates and maintains orientation and training materials.
  • Assists with inventory and ordering of client and staff supplies, including psychological materials. Also creates expense reports for departmental leadership to sign off.
  • Functions in accordance with Operational Guidelines and within his/her professional code of ethics.
  • Participates in and contributes to the various staff development activities of the organization.
  • Is sensitive and responsible to management needs, such as data collection, program evaluation, development of grant applications, maintenance of various contracts for services, organizing and monitoring CSGs for department clinical staff, organize department data collection and reporting to stay in compliance with payer source and other regulatory requirements, etc.
  • Participates in required meetings. Assists with team meetings by taking attendance and notes and dispersing minutes.
  • Abide by organization's privacy and security policies when interacting with clients and co-workers at all times.
  • Completes all agency required trainings and requirements. Regularly participates in evaluation of self and any assigned staff according to Burrell Policies and Procedures.
  • Performs other work assignments or special functions as assigned by department leadership teams, as may be outlined and attached hereto.
  • Supervisor position provides direct oversight of the care coordinator and/or behavior care manager positions and has added responsibility for oversight of data analysis of KPIs, referral relationship management, and nurturance of community contracts.

Supervisory Duties:

Qualifications:
  • Must possess at minimum a high school diploma or GED.
  • Experience in office management and customer service experience is preferred.
  • Experience and knowledge related to clinical services is desired.
  • Proficient in PC skills
  • Ability to communicate effectively before groups of residents, employees of the organization, family members and other contacts in the community.
