Overview:
Artist and designer, Sourabh Gupta, is seeking an Operations Manager to join his studio in Industry City, Brooklyn. Qualified candidates will possess a minimum of three (3) years of experience working in an artist studio, preferably having worked with a single creator who is in the early phases of commercial development. The ideal candidate will grow professionally within the studio as art and design projects expand, and commercial success is realized.
We are seeking a proactive and responsible Operations Manager with an entrepreneurial work ethic to join our up-and-coming art studio in Industry City, Brooklyn. The ideal candidate will take ownership of the day-to-day operations, ensuring the studio runs smoothly and efficiently. This role requires excellent organizational and prioritization skills, and the ability to work independently.
Duties:
- Manage and maintain the studio schedules, ensuring all projects and deliverables are considered, and all deadlines and deliverables are met.
- Asses resources needed to complete projects on time and on budget, recommend additional resources or freelance/temp staff as needed
- Assist the artist in all day-to-day activities, including but not limited to; procuring materials/supplies, shipping/receiving materials via Amazon/UPS, USPS, organization of studio space, preparation of materials, inventory of supplies/materials, maintenance of design archives, general cleaning and overall studio maintenance
- Manage all online purchases/returns via Amazon or any third-party materials provider
- Oversee correspondence and client relationships, including client inquiries via email, social media, in-person, events, etc.
- Manage bill payment, ensuring bills are paid on-time and raising any issues/concerns related to rate increases or inconsistency in billing
- Light bookkeeping, including client invoicing, working with external/outsourced bookkeeper and accountant
- Ensure equipment is functioning; schedule maintenance or repairs as needed.
- Book reservations (restaurants/travel), track receipts for business expenses
- Stock supplies needed for daily operations, including kitchen and pantry.
- Other duties as assigned by artist or studio leadership
Qualifications:
- 3+ years of experience in operations/studio management, preferably in a creative setting, working with a single creator/visual artist.
- Driver’s license and the ability to drive.
- Excellent organizational skills, able to prioritize, multitask, and work independently.
- Strong problem-solving skills and a proactive approach with attention to detail.
- Excellent written and verbal communication skills, ability to manage multiple internal/external stakeholders, vendors, and freelance/temp staff.
- Knowledge of Word, Excel, PowerPoint, and Google Docs.
- Knowledge of QuickBooks is a plus but not required.
