Job Title: Student Support Specialist

Reports to: Intern Program Lead

FLSA Status: Full time exempt

Eligibility: U.S. Citizens Only

Pay Grade: $40,000-$55,000 Salaried

As a Student Support Specialist at Griffiss Institute you will work within the Intern Talent team to manage intern facing support and administrative tasks in several areas of the program, including recruiting, onboarding, facilitation, and intern support. You will be the eyes and ears of the program, ensuring that intern concerns and needs are met with compassion and efficiency. The Griffiss Institute is proud to partner with the U.S. Air Force to support the development of a more diverse and inclusive domestic STEM workforce across the United States. In the past five years, the GI has recruited and deployed 823 student interns from 163 universities in 93 countries to US Air Force R&D programs in command, control, communications, computing, cyber, electromagnetic spectrum, UAS and counter-UAS. The successful candidate will work seamlessly with the GI’s Intern Talent team to support the program’s growing processes for onboarding, monitoring, retention, offboarding, and career trajectory tracking for 200-300 interns annually. Collaborating is a must with the GI Security Team, to initiate and manage government security clearances for promising candidates to cultivate early entry into defense careers.

Essential Functions:

Supervisory Responsibilities:

· Will assist in overseeing research interns throughout the year.

· Will assist in ameliorating intern concerns with research, mentors, and peers.

Duties/Responsibilities:

· Assists in implementation of new hire onboarding and orientation under supervision of Human Resources.

· Monitors student interns during their period of performance via in-person and digital means, refers complex or concerning situations to project leads and/or Human Resources.

· Handles employment-related inquiries from applicants and employees, referring complex and/or sensitive matters to the appropriate staff.

· Communicates with Project Leads and Human Resources department regarding employee disciplinary concerns.

· Completes administrative tasks necessary for facilitation of Intern Talent programs including but not limited to data collection, creation and updating of documents and briefings, reviewing processes for completeness, efficiency and organization.

· Facilitating recruitment opportunities locally and nationally; acting as a program ambassador with university partners and at career fairs and other recruitment events.

· Maintains compliance with federal, state, and local employment laws and regulations as trained.

· Ensures that all documentation for Intern Talent programs is maintained appropriately in the correct area.

· Fosters a workplace environment for all students that is consistent with the values and vision of the Griffiss Institute.

· Performs other duties as assigned.

Qualifications:

Education and Experience:

Bachelor’s degree in Education, Human Resources, Business Administration, or related field required.

Certifications and Licenses:
Valid state driver’s license – must meet insurance underwriting requirements.

Language Ability:

Multilingual is a plus. Ability to read, analyze, and interpret common technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to write speeches and articles for publication that conform to prescribed style and format.

Math Ability:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:

Ability to seek clarification on project activities. Ability to research and define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Desired candidates have awareness of business fundamentals, including basic models and diagrams.

Computer Skills:

To perform this job successfully, an individual should have knowledge of Microsoft Office programs including Outlook, Word and Excel and Smartsheets, Unanetand a variety of other basic internet software.

This role requires regularly traversing Innovare Advancement Center’s 150,000 square foot facility for tours and talks. Additionally, this position requires walking or driving to and from the Air Force Research Laboratory Information Directorate’s Building 3 and traversing that building as well. While performing the duties of this job, the employee is regularly required to sit and talk or hear.
