Job Title:Student Success Coordinator - Theological Programs in Spanish

Reporting Relationship: Dean of Academic Services

Unit: Wesley Seminary

Summary of Position: The Student Success Coordinator acts as a shepherd for Wesley Seminary students. S/he is expected to proactively reach out to students to ascertain their academic, physical, financial, emotional, and spiritual health and how these forms of health are influencing their ability to succeed at Wesley Seminary. This person will also work with the various seminary and university departments to support the student and help create an environment where students thrive and succeed. Additionally, this position serves students as they navigate their academic journey including all registration changes.


Duties and Responsibilities

  • General Services Liaison
    • Close collaboration with Dean of Academic Services, the Dean of the Faculty, the Director of Theological Programs in Spanish, faculty assistant, financial aid office, student accounts office, enrollment team, and student services team
    • Regular outreach to students to proactively offer assistance, prayer, and guidance
    • Help students work through conflict with classmates, procedures, or professors
    • Assist professors with reaching at-risk students
  • Registration
    • Advise students regarding scheduling changes – understand drop/add, registration, billing, refund policies
    • Advise students on elective options including independent study/directed study o Work with student and professor on application process, seek approval with the Academic Affairs Office, build course and register student
    • Schedule plan and register students for course load, process any registration changes
    • Hold primary role for reentry student processing o Research potential Student Success upon reentry and advise accordingly
      • Create degree schedule plan, register student for remainder of program o Update cluster for re-entry student
    • Process permanent withdrawals/suspensions/administrative withdrawals including utilizing the withdrawal processor, ending of cluster, ending of advisor, and notification in Student Remarks
    • Process change of program requests, changing specialization, class schedule, and anticipated graduation date as necessary
    • Process Leave of Absence (LOA) requests o Understand LOA policy and impact on billing and financial aid o Communicate with student all aspects/requirements of an LOA o Record and track LOA in system
    • Track and monitor student eligibility to take Capstone and ensure they are registered to take Capstone at appropriate time
    • Work with students who wish to audit a course, completing paperwork, connecting them with Student Accounts, and registering them
  • Graduation
    • Monitor, update, change anticipated graduation date as registration changes occur in order to identify potential graduates for each conferral
    • Use outreach time table to communicate to students about upcoming graduation date, registering for graduation, ordering cap and gown
      • These communications need to happen multiple times in the months leading up to graduation
    • Ensure all eligible students have registered for graduation, have all requirements completed in time, and record if they are attending ceremony or not
    • Review for graduation
    • Ensure mailing addresses are accurate for students to receive diploma
    • Work with Registrar’s Office to organize graduation ceremonies
      • Work graduation ceremonies
    • Understand graduation honors at the undergraduate level
  • Engagement
    • Regulate and enforce Seminary Engagement Policy with all students via IT developed engagement report and communication with professors
    • Communicate with students regarding lack of engagement
    • Administratively withdraw students who have been unengaged for 21 days
    • Track administrative withdrawals for repeat offenders
  • Additional Duties
    • Any other duties as assigned, requested, or needed

Qualifications: According to Indiana Wesleyan University employment policy all employees must possess a strong Christian commitment and adhere to the standards outlined in the IWU Community Lifestyle Statement.

Education

  • Bachelor’s degree required
  • Master’s degree preferred

Experience

  • Minimum of three (3) years of experience in office settings preferred

Required Skills

  • Superior oral and written communication skills in Spanish
  • Excellent computer skills with working experience in a variety of applications, especially Word and Excel
  • Ability to relate and interact well with pastors, ministerial students, Seminary faculty/staff, and IWU community
  • Excellent organizational skills
  • Ability to maintain confidentiality and compliance with FERPA laws
  • Bilingual (Spanish/English) candidates and minorities are encouraged to apply
