Student Services Secretary

REPORTS TO: Director of Special Services and Special Education

QUALIFICATIONS:

  • Excellent public relations skills and a commitment to serve the district’s educational community in a patient, responsive, professional, and courteous manner.
  • Effective written and verbal communication skills.
  • Excellent knowledge of the English language, including but not limited to, the rules of grammar and correct spelling.
  • Excellent organizational skills and ability to work in a self-directed manner, anticipate future deadlines, and manage projects and reports.
  • Proficiency in Microsoft Word and Microsoft Excel, and Google Suites required.
  • Proficiency and experience working with the student information system, PowerSchool, preferred.
  • Knowledge and proficiency in the use of ISBE’s student information system, preferred.
  • Willingness to learn district-specific application software such as EdPlan.
  • Previous experience working in a school setting performing clerical or secretarial work, preferred.
  • An interest in working with people and a desire to develop positive relationships with colleagues and work as a member of a collaborative team.
  • Ability to maintain confidentiality in all matters associated with the position.
  • Willingness to learn and assist with additional professional responsibilities as required in the Administrative Center.

WORK YEAR and WORK DAY: 12-month (260 days)

STARTING DATE: TBD, but no later than July 1, 2024

The Student Services Secretary position is multi-faceted and encompasses services to Special Education, English Language, Preschool for All, and other duties at the Administrative Center. Excellent interpersonal skills, organizational skills, and the ability to handle situations with the utmost of confidentiality are essential. The Student Services Secretary works with and supports administrators who are responsible for the afore­ mentioned programs, and interacts with staff members from each of the programs. The Student Services Secretary routinely enters data into the ISBE's student information system and is responsible for state-required reporting for the afore-mentioned programs.

Reports to the administrators responsible for Special Education, ELL Programs, and Preschool for All Programs.

Prepare special education state reports for:

  • Personnel Reimbursement (all special education staff)
  • Student Reimbursement (including homebound tutoring)
  • Extraordinary Claims Reimbursement
  • Early Childhood Outcomes

Maintain accurate information regarding eligible students in special education programs, including amount of related services, accommodations, and projected reevaluation dates for each student.? Enter data in PowerSchool, manage the computerized IEP Program, and maintain accurate class lists.

Arrange transportation for eligible special education students.

  • Coordinate with Medicaid providers and staff.
  • Review information for accuracy.
  • Maintain records for students who are Medicaid eligible for fee for service and distribute information to staff regarding Medicaid eligible students.
  • Coordinate Extended School Year Services for OOD Students.
  • Coordinate requests for services with the Eisenhower Cooperative.
  • Coordinate Early Intervention Services.
  • Manage purchase orders (Infinit Visions)
  • Coordinate timely and meaningful consultation (TMC).
  • Send transition information to staff and forward records to the various high schools.
  • Send special education records to districts of transfer.
  • Assume additional duties and responsibilities as assigned by the Director of Special Education.
  • Distribute and maintain Home Language Surveys.
  • Maintain accurate information of eligible students in ML programs.
  • Enter data in PowerSchool and maintain accurate class lists.
  • Process orders, distribute, and collect ACCESS testing materials.
  • Maintain ongoing communication with ML teachers.
  • Serve as the registrar and secretary for the preschool program.
  • Coordinate preschool screenings:
  • Respond to parent requests for screening.
  • Maintain accurate parent and child information.
  • Set preschool screening dates and appointments.
  • Coordinate personnel and materials for screenings.
  • Notify parents of appointments and placement in program.
  • Distribute preschool screening information.
  • Maintain files for each student.
  • Prepare Preschool for All state reports:
  • Preschool for All Follow Up Report.
  • Parent Initiative and Parent Evaluation.
  • Preschool for All Program Record.
  • Serve as backup to the Registrar.
  • Assist with student registration, as needed.
  • Work as a member of the collaborative team at the Administrative Center and assist other departments as needed to complete seasonal projects, including work with the collective bargaining agreements.
  • Maintain the confidentiality of all District information.
  • Observe and follow all District policies and procedures.
  • Perform all duties and responsibilities as assigned by the Superintendent.

Pay: From $50,000.00 per year
