General Job Description:
Serves as a confidential secretary to ensure the smooth and efficient operation of the Student Services office. Sets daily office priorities based on knowledge of the overall function of the office. Performs work as required or assigned. Organizes, coordinates, and accomplishes duties that support all aspects of Student Services.
Responsibilities:
Responsibilities include but are not limited to the following:
- Corresponding with alumni to collect, validate, and report gainful employment per federal and state requirements.
- Maintaining the student database of demographic information including required documents, grades, attendance, class rosters, and other student data to ensure accurate and current information which is in compliance with federal, state, and local requirements.
- Performing general office responsibilities which includes generating transcripts, creating purchase orders, filing, and electronic record keeping.
- Assists the Health Science Director, Health Science faculty and the Student Services Coordinator as directed.
- Communicates with potential students about nursing programs.
Qualifications:
- Possess high school diploma or GED.
- Displays evidence of course work, certification, and/or proficiency in Microsoft Word, Microsoft Excel and Google Suite Apps.
- Demonstrates the ability to multi-task and work in a team environment.
- Demonstrates proficiency in organizing and record keeping.
- Demonstrates proficiency in spelling, proofreading, and the proper use of grammar.
- Demonstrates effective customer-service.
- Maintains a record free of criminal violations that would prohibit public school employment.
- Meets all mandated District requirements.
- Prior experience in a post-secondary Student Services secretarial position preferred.
- Experience with CRM’s (Customer Relation Management) software preferred.
- Meets all mandated health screening requirements.
- Maintains a record free of criminal violations that would prohibit public school employment. Able to successfully pass a BCI/FBI background check.
- Maintains compliance with drug-free workplace rules, Board policies, and other applicable procedures/guidelines.
Salary:
Appropriate placement on the Adult Education Secretarial Salary Schedule to be determined by education and experience. Salary will range from $33,482 (Class II, Step Step 0) to $40,518 (Class II, Step 5). Base contract is 260 days. Minimum workday 7.5 hours per day, exclusive of a lunch break. One-year contract with opportunity for renewal.
