Job description

The Highlights:

Reporting to the Associate Director, the Student Records Assistant is responsible for maintaining the integrity of permanent records reflecting the academic histories of students at DePaul University, including chronological listing of students’ total qualitative and quantitative learning experiences and achievements, as well as other pertinent information. The Student Records Assistant is also responsible for the production of transcripts, and responding to inquiries related to records.


What You'll Do:

  • Review academic records of prospective graduates and post degrees for those completed. This includes but is not limited to: correspond with colleges to verify degree eligibility, resolve discrepancies and record academic degrees awarded, including majors, minors, thesis, dissertations, honors, honors program and descriptions of competency based programs.
  • Maintain official academic records. This includes, but is not limited to ensuring that records reflect institutional policies, such as academic forgiveness, course repeats, credit adjustments, dismissal, and readmission.
  • Responsible for the daily record retention efforts of the Office of the Registrar.
  • Process paper and electronic transcript requests, monitor systems performance and troubleshoot system errors.
  • Respond to and troubleshoots inquiries regarding Student Records functions, as appropriate, maintaining a service level of one business day.

What You'll Need:

  • Bachelor’s degree required or equivalent experience, 2 years experience in academic environment preferred.
  • Strong written and verbal communication skills.
  • Must be able to work independently as well as collaboratively on various projects.
  • Must be a team player with creativity, patience and perseverance.
  • Must be able to work well under pressure.
  • Ability to work positively in a demanding, high volume, fast-paced environment.
  • Thorough knowledge of or willingness to learn PeopleSoft and Microsoft Office suite.
  • Basic understanding of and knowledge of University resources for students.
  • Knowledge of or willingness to learn common Student Records practices and sensitivity to confidential information, including knowledge about and adherence to FERPA regulations.
