Job Description:Title: Student Experience Data Manager This is a grant funded position until September 30, 2028. Department: Stay Strong Success Center Number of Positions: 1 Classification: 2 Position #: 101220 Type of Appointment: Full-Time FLSA Status: Exempt Pay Rate: $46,690 - $57,780/per year. Pay will be determined based on related work experience above required. To be considered in determining pay, all related work experience must be listed on the application. Reference check requirements: ​· Non-supervisory roles: three (3) current or former supervisors ​· Personal references (friends, clergy, customers, relatives) are not considered acceptable references) Position Summary: The Student Experience Data Manager is responsible for spearheading the data-driven initiatives under the Title III grant project, developing a data analysis framework that focuses on leveraging data to comprehend and improve Student Experiences, as well as recruitment and retention strategies at Pellissippi State Community College (PSCC). They are also responsible for collaborating with IEAP to analyze the Student Experience—enrollment, retention, matriculation, student and faculty characteristics, program vitality and evaluation, program review, community characteristics, student achievement student retention, and student learning outcomes. The Title III Reimagining Community College grant funds will underwrite the development and refinement of success teams, career development, support services, guided-pathways, and technological systems at Pellissippi State Community College. Data mined through this project is expected to play a pivotal role in enabling PSCC to make informed decisions to enhance the services to students. The Student Experience Data Manager will work in partnership with the Stay Strong Success Center, IEAP, Start Strong Center, Enrollment Services, Information Technology (IT), and other College partners to ensure the high-quality execution and utilization of technology resources to support PSCC strategic initiatives. Essential Functions: 30% Data Collection & Integration Works closely with Institutional Effectiveness, Assessment, and Planning (IEAP) to support research initiatives, including collecting, analyzing, and compiling data related to the Student Experience and student success in accordance with the RCCE@PSCC project. Leads data collection and analysis efforts related to summer melt and stop-out/dropout rates and provides reports and recommendations based on analysis. Data Analysis Apply statistical and analytical techniques to derive actionable insights from complex datasets. Monitor and assess patterns relating to student drop-out/stop-out in the first year, providing regular updates to Project Director/Stay Strong Center Director, and Leadership Team. Provide support in creating a comprehensive plan that will lead to improved student retention, persistence, and completion. Monitor the progress of the programs and identify areas that need improvement. Work closely with faculty and staff to ensure that the initiatives are aligned with the needs of the students. Analyze data to evaluate the effectiveness of the programs and make necessary adjustments to improve student outcomes. 30% Data-Driven Strategy Formulation Work closely with other grant personnel, especially the Project Director, to align data initiatives with Title III project objectives. Present data findings to various stakeholders, ensuring clarity and actionable takeaways. Collaborate with academic departments and student affairs to develop data-informed strategies to enhance student recruitment, retention, and success. Propose actionable strategies to tackle challenges identified in student data, such as drop-outs, stop-outs, and other relevant metrics. Develops technology workflows and provides training for new and existing users to improve service delivery and product function. Work within the Stay Strong Success Center to identify and prioritize technology needs to support student success. Establish workflows and communication processes for optimal technology use. Work with IT, IEAP and other technology professionals to investigate the potential implementation and management of a Chatbot platform. Stay current with emerging educational technologies and trends. Foster a culture of innovation and technology integration within academic support services. Ensure all technology-related policies and procedures are followed, including security and data privacy guidelines. 20% Software Proficiency Utilize data management and analysis software such as SQL, R, Python, Power BI, and similar tools. Stay updated on emerging software and tools that can enhance data management and analysis capabilities. Database Management Prioritize data privacy and security and compliance per IT guideline policies and procedures. Continuous Improvement Regularly review and refine data collection and analysis processes, ensuring they remain efficient and relevant. Attend workshops, seminars, and conferences to stay updated on best practices in data management and higher education trends. Continuously enhance proficiency in relevant software and tools through training and courses. Collaborate with external experts and consultants to introduce new data management and analysis techniques to the institution. 15% Reporting Submit monthly reports to the Project Director detailing progress toward Title III grant deliverables. Assist with Title III reporting writ large. Generate routine and ad-hoc reports, ensuring they're tailored to different audiences, from project teams to senior leadership. Work closely with the Title III Project Director and Career Development Coordinator to monitor and report on transfer rates, WBL participation, and career development outcomes. Regularly assess the efficacy of career, transfer, and WBL services, refining strategies based on student feedback and changing industry requirements. 5% Administration: Serve on College committees as assigned; participate in relevant professional organizations and professional development activities that enhance the College mission. Other duties as assigned by the Project Director/Director of Stay Strong Success Center, and the Vice President for Student Affairs. Note: The College reserves the right to change or reassign job duties, or combine positions at any time. Key Results Areas: For the Student Experience Data Manager position, the measurable outcomes or results include the following: Report Turnaround: Generate and deliver requested reports within a set timeframe Data Updates: Update dashboards or other real-time data visualizations weekly. User Satisfaction: Achieve a user satisfaction rate of 85% or higher based on regular surveys. Policy Changes: Number of institutional policies modified or created due to insights from the data. Programmatic Adjustments: At least two programmatic adjustments are made per academic year based on data insights. Grant Reporting: Submit all required grant reports on time and without errors. Grant Objective Achievement: Meet or exceed all data-related objectives outlined in the Title III grant. Job Requirements: Required: Bachelor’s degree with coursework in statistics and/or educational, social, or behavioral research design and evaluation and two years of work experience in statistical study design, analysis, and reporting research and relational database design or programming, preferably SQL. Knowledge and experience with both quantitative and qualitative research are required. Preferred Qualifications: Master’s degree in a related field with extensive work in statistics. Part-time work experience is calculated at 50% credit of full-time work experience. Skills/Abilities:Deep understanding of the unique qualities and attributes of community college student populations.Ability to apply data-informed decision-making to support strategic enrollment priorities for the College.Strong written and oral communication skills.Demonstrated commitment and ability to work with diverse students, faculty, and staff.Ability to develop and maintain excellent working relationships and establish credibility with all levels of professionals.Working knowledge of Microsoft Office 365 applications, student development theory and research, and a high degree of attention to detail.Strong presentation skills and problem-solving ability.Ability to meet deadlines and work independently.Ability to prioritize tasks, understand the impact of actions and engage in the college’s mission and values. Complexity & Creativity: The Title III grant outlines specific strategies, activities, milestones, and deliverables. However, the grant does not provide a step-by-step procedure for accomplishing the required outcomes, milestones, and deliverables. Working within the college's policies and procedures and state and federal guidelines, the Student Experience Data Manager must use creative “outside the box” thinking to develop the best strategy to achieve the grant's goals. The capability of not being hindered by implied limitations can be immensely valuable. Additionally, it is essential to avoid spelling, grammar, and punctuation errors in written communication. This role requires adaptability, problem-solving, attention to detail, and an understanding of the institutional and departmental mission. Design and statistical analysis require extensive knowledge of design theory and educational data collected in student information systems. The analyst must be able to demonstrate knowledge of relational database management theory, design, and operation pertaining to student and academic data. Proficiency in the use of SQL with emphasis on retrieval of student information from Banner/Oracle applications. Proficient use of statistical software and knowledge of advanced statistical methods and techniques. Beyond proficiency, the employee must be able to communicate with other employees with varying degrees of understanding of research application in order to produce information that can be used to take action toward improvement of daily operations, student success, and, ultimately, college success. Magnitude of Impact: Decisions could impact the success of completing the strategies, activities, milestones, and deliverables of the Title III Grant, which could, in turn, affect the college’s goals in receiving other grant-funded opportunities. The position requires collaboration with different areas of the college, including Enrolment Services, Career Development, Advising, New Student Orientation, Career Mentors, Career Communities, and Academic Affairs in general. Responsibility for Accuracy: Prompt communication of changes is crucial to avoid communication errors. Not being aware of changes can lead to misunderstandings, delays, and even loss of business. By disseminating information in a timely manner. Financial Impact: There are both financial and non-financial consequences to consider, such as the possibility of losing grant funding if objectives are not achieved or resources are not managed properly. However, it is important to note that the Student Experience Data Manager’s primary focus will be on assessment tasks related to student recruitment, retention, and engagement rather than directly managing material assets. As a result, the risk associated with this role is relatively low when compared to other positions that have greater responsibility for managing material assets. Budgetary: Although not directly responsible for the budget, the position provides input on material, supply, and travel needs. Judgement and Decisions: This position has input in aspects of decision-making within Title III grant initiatives. In addition, the incumbent also makes decisions regarding services and programming provided to students Nature of Contacts: Interactions within the College involve providing and obtaining information, discussing various areas of the College, seeking understanding, resolving conflicts, and planning and implementing reports. Contacts within the College include students, faculty, and support staff from different departments, IEAP, IT Deans, Registrar, Marketing, Advisors, Start Strong and Stay Strong Centers, Assistant VP, Vice President, President, and Foundation office. Outside of the College, contacts include Department of Education representatives, personnel from other higher education institutions, vendors, and others. The Student Experience Data Manager works closely with IEAP Coordinator to design research projects and identify relevant data. The incumbent must work closely with other departments to provide and gather information, and discuss assessments, and explain research conclusions. Physical Demands: While performing the duties of this job, the employee is frequently required to stand, talk, listen, walk, sit, and occasionally push or lift items. The position works in an office environment which requires a large amount of sitting at a desk and working on a computer. Physical exertion is typical of an office environment. The position requires the ability to communicate with others; while it would be challenging, a person with hearing impairment could still perform the identified job tasks. The job does require visual acuity. The work environment is comfortable and does not include adverse conditions. Hazards: The probability of physical injury is minimal.
