The Student Engagement Operations Professional provides administrative, marketing, and financial support functions for all units within the University Center with specific responsibilities for the Department of Student Life. The position also works directly with registered student organizations in a variety of ways related to club operations and functionality. The position prioritizes tasks and provides information and interpretation by phone, in writing, or in person to students, faculty, staff and the public concerning the Department of Student Life and helps identify and resolve problems regarding the above. Support of student programming/events and advising student groups are also key responsibilities. Evening and weekend work required as needed. The position is a department and campus resource and must be able to research correct answers to questions and provide accurate information to staff, students, and outside constituents.

Job Duties:

Budget/Financial Duties:

  • Assist Director of Student Engagement to create budget plan for each academic year for the Student Government Association, the Student Media Advisory Board, and the Student Life Department.
  • Perform quarterly audits of speedtypes for the Director of Student Engagement and create journal entries and cash transfers as needed.
  • Assist Director of Student Engagement with annual reserve spending plan for Student Government, Student Media Advisory Board, and Student Life Department in conjunction with the Student Life Team.
  • Utilize PeopleSoft Finance, CU Marketplace, and Concur to complete the following: pay invoices; research and resolve billing problems; prepare POs, SPOs, expense vouchers, travel arrangements, and cash receipts for the Student Life Department; and assist the CCSLead/CLC Department and Mosaic Department with these processes and direct to CU resources as needed.
  • Train new/current staff members to adhere to all UCCS financial policies, procurement guidelines, CU System deadlines and act as point of contact for any financial questions for the department.
  • Process year end budget journals and actual journal entries for all club, Student Life, Student
    Government, and Student Media speedtypes for year-end close.
  • Process all contracts and invoices for clubs and reconcile club/organization accounts quarterly to reflect accurate charges and resolve discrepancies in all speedtypes.
  • Track, report, and audit any funding clubs receive from Student Government, the University Center, or the Mosaic Office.
  • Work with Student Life Staff to coordinate travel trainings with clubs, make travel purchases through Concur, and track/reconcile all travel purchases once the trip has occurred.

HR/Supervisor Duties:

  • Act as HR Liaison for the department as it pertains to all hiring, termination, and promotion documents for student and professional staff members.
  • Prepare and update student employment records throughout the year for end of year audits.
  • Assist department supervisors with onboarding student employees as needed.
  • Upload timesheets to CU-Time every pay period for Student Life, Student Government, and Student Media student staff members.
  • Oversee student staff financial team and focus on implementing new financial processes that improve the student club/organization experience.
  • Work with Student Life Staff to implement student staff expectations, work standards, and a student focused approach to programs.
  • Process all Student Government Recognition stipends at the end of each semester for each student government member.

Other Duties:

  • Provide general administrative support for University Center Staff, focused on Student Life, as well as Student Media, and the Student Government Association for purchases, office supplies, equipment, licensing, and furniture as needed.
  • Work with Event Services to update KX system with speedtypes for all club, Student Life, Student Media, and Student Government event charges.
  • Meet with student clubs and provide financial trainings regarding funding sources and CU Policy.
  • Advise the Student Government Association Budget Advisory Committee which oversees the Student Government budget.
  • Attend and staff Student Life events as needed.

This position has been determined to be exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

What We Offer: 

Salary Range: Generally starting at $44,653 - $57,617

Tentative Search Timeline:

Minimum Requirements:

  • Bachelor's degree or higher from an accredited institution of higher education.
  • Three years of administrative service experience.

Preferred Requirements:

  • Five years of administrative service experience.
  • Experience working with faculty, staff, and students in a higher education.
  • Experience working with budgets, accounting, and procurement.
  • Marketing experience.
  • Social media experience.
  • Knowledge and experience with PeopleSoft, CU Marketplace, and CONCUR in processing, tracking, and managing purchase orders, payments, travel vouchers, and invoices.

 Physical Requirements:

While performing the duties of this job, the employee is frequently required to sit. Employee is occasionally required to stand and walk. Tasks may involve looking at computer screen continuously for long periods of time. The employee must occasionally lift and/or move up to 10 pounds.
