General Function
The Student Employment Specialist ensures processing of student employee personnel actions for all campuses, creates and maintains the data integrity of the information in the student employee database and employee personnel files by keeping them up to date, supporting payroll changes, and processing and notifying student employees and departments of breaks in service or terminations. Duties also include counseling and advising students and family members on the various financial aid programs and eligibility requirements, assisting with the administration of them, and presenting outreach programming and workshops to students, family members, faculty, and staff. The Student Employment Specialist maintains and manages the Student Employment job posting portal for on-campus and off-campus postings to ensure information is up to date for all users and employers. This position supervises part-time office employees.
Description of Primary Duties
1. Ensures the accuracy and completeness of information contained in University student personnel records and the human resources information system database by understanding the nature of the various types of personnel actions and the associated policy compliance and processing implications.
2. Reviews personnel actions for compliance with various laws, regulations, and policies, codes personnel actions for correct processing, supports salary increase processes, and creates, maintains, and updates records in the Human Resource/Payroll database.
3. Ensures optimal use of financial aid funds by awarding funds from the various university-controlled programs to students in accordance with established federal, state, and University guidelines.
4. Counsels and advises students and family members on the various financial aid programs, assisting with the administration of one or more federal, state, or institutional financial aid programs, as well as counsels and advises students on eligibility requirements (including GPA), application procedures, job search strategies, other departmental communication topics, and provides resources that are relevant to a student's needs.
5. Creates and maintains personnel files for employees by reviewing, scanning, indexing, and entering information from employment documents.
6. Identifies terminating employees within employment eligibility policies and notifies the employee and department when there is a break in service or termination of employment.
7. Monitors the workload of part-time employees and assigns work accordingly.
8. Supports the University by maintaining the confidentiality of personnel actions, coding position requisitions as needed in the applicant tracking portal and providing guidance and information to individuals with questions about employment actions.
9. Assists in the preparation of required statistical reports by collecting data and keeping accurate records on programs administered by Student Employment Services and by designing and revising forms as appropriate.
10. Assists with the coordination and/or presentation of outreach programming, workshops, and major projects such as Student Recognition Reception, Job Fairs, Professional Development Supervisor Training, New-to-College Presentations, On-Campus interviews, etc.
11. Maintains and the Student Employment job posting portal for on-campus and off-campus postings to ensure employer contact information, profiles, and job postings are up to date and monitored; utilizes Student Employment job posting portal to generate reports and analytics by learning all employer modules and continuing to learn new features within the portal.
12. Contributes to broad based management of the department by providing input to office policy and procedure decisions.
13. Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
14. Maintains competency and professional currency through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses required by the Assistant Director, Student Employment Services.
15. Contributes to the overall success of the Division of Community and Global Partnerships by performing all other duties as assigned.

Minimum Acceptable Qualifications
Education: A high school diploma or the equivalent is required. A bachelor's degree is preferred.An equivalent combination of years of experience and education may be considered for substitution of educational requirements.
Experience: At least three years of employment experience in the area(s) of human resources, payroll processing, financial aid, project management, or other applicable experience is required. Experience with data entry is required. Previous experience in employment, advising, or other student service areas at the college/university level is preferred. Previous supervisory experience is preferred.
Skills: Ability to communicate effectively, both in writing and verbally, with students, family members, fellow employees, college administrators, and other constituents of the University is required. Excellent attention to detail and problem-solving skills are required. The ability to organize large volumes of work, work independently, evaluate, and determine the correct course of action is required. Ability to supervise part-time employee(s) is required. Must be comfortable speaking before groups of students, family members, and colleagues. Ability to relate effectively to all publics and strong organizational and time management skills are required. The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required.
