Job Summary
Provide high-level executive support to the Associate Dean for Student Affairs and Student Affairs leadership. Manage calendars for the Associate Dean and Student Affairs leadership. Prioritize requests for meetings, and resolve scheduling conflicts while maintaining a positive image of the Student Affairs office. Schedule and coordinate meetings and appointments including logistical needs for meetings, as well as taking meeting minutes as needed. Ensure accurate and timely communication for the Associate Dean and Student Affairs leadership. Coordinate logistical needs and process associated expenses for meetings with Student Affairs leadership, students, faculty, and staff, including meetings and events for Student Affairs/OME-supported student groups (learning communities, Resilient, and Association of American Medical Colleges (AAMC) Organization of Student Representatives (OSRs)). Coordinate logistics of elections for OME-supported student groups. Responsible for being the delegate for the Associate and Assistant Deans for Student Affairs in signature approval of College of Medicine expenses, educational documents, and other documentation, as assigned. Complete travel arrangements and process associated expenses. Maintain files, draft correspondence on behalf of Associate Dean and Student Affairs Leadership (often of highly confidential nature), and answer phones. Serve as a liaison with internal and external constituents. Compile, gather, and provide Associate Dean and Student Affairs with appropriate data and information to assist in making sound and effective decisions on projects, initiatives, and responses to administrators, faculty, and staff. Serve as a point of contact to address questions and connect students/faculty/staff to the appropriate individuals or resources. Formulate communications strategy and coordinate the appearance and content of print and electronic materials.
Skills / Knowledge / Abilities
Excellent written and oral communication skills as well as outstanding interpersonal attributes (leadership, diplomacy, exceptional communication skills, and confidentiality) and abilities to effectively interact with a diverse group of people. Reliability and follow-up. Outstanding organizational skills: problem-solving; organization and prioritization; attention to detail; proficiency with MS Outlook, Word, Excel, and PowerPoint.
