We are seeking a detail-oriented Staff Accountant to join our finance and General Administration team. The ideal candidate will be responsible for managing our accounts receivable, overseeing collections, maintaining accurate journal entries in QuickBooks, assisting in tax filings, and managing inventory. A strong understanding of Generally Accepted Accounting Principles (GAAP) and experience with monthly close processes are essential for this role. This role will report to the Office Manager and the Controller.
The Staff Accountant's responsibilities are to accurately record all day-to-day financial transactions and accounting duties for our company, including but not limited to:
Responsibilities
- Accounts Receivable & Collections: Oversee and manage the entire accounts receivable process. Maintain accurate and up-to-date customer records. Implement effective collection strategies and conduct regular follow-ups for overdue accounts.
- QuickBooks & Journal Entries: Record financial transactions and maintain accurate journal entries in QuickBooks. Reconcile bank statements and resolve discrepancies.
- Tax Filing Assistance: Assist in preparing and filing tax returns in compliance with federal, state, and local requirements. Stay updated on tax law changes and advise on implications for the company.
- Inventory Management: Monitor and manage inventory levels to ensure adequate supply. Conduct regular audits and reconcile inventory accounts.
- Monthly Close & GAAP Compliance: Participate in monthly close processes, ensuring compliance with GAAP. Prepare and analyze financial statements and reports. Assist in the preparation of budgets and financial forecasts. Maintain accounting records such as bank reconciliations, general ledger accounts, and subsidiary ledgers.
- Internal Controls and Compliance: Evaluate and strengthen internal controls to ensure accuracy and integrity of financial information. Ensure compliance with internal policies, external regulations, and audit requirements.
- Budgeting and Forecasting: Participate in the annual budgeting process and regular forecasting activities. Collaborate with department heads to prepare and review budget proposals.
- Administrative Support: Provide administrative support to ensure efficient operation of the office. Cover the front desk as needed, which includes greeting and directing visitors, handling incoming calls, and managing general inquiries. Assist with office management tasks such as ordering supplies, scheduling meetings, and maintaining common areas. Support various departments with administrative tasks as required.

Skills
- Bachelor’s degree in Accounting, Finance, or related field.
- Minimum of 3 years of accounting experience, with a focus on accounts receivable, collections, and inventory management.
- Proficiency in QuickBooks and Microsoft Office Suite.
- Strong understanding of GAAP and experience with monthly close processes.
- Excellent communication, organizational, and analytical skills.
- Ability to work independently and as part of a team.
