Job description

We are seeking a Sr. Sponsored Projects Specialist. This is a non-financial, remote position that supports the Grants Team in the School of Medicine Office of Research Administration (ORA). The SGA works with some independence and is expected to exercise sound judgement in carrying out their responsibilities in accordance with University and SOM policies.


Specific Duties & Responsibilities


General

  • Provide advice to faculty and staff on award workflow and closeout.
  • Pull grant records and run reports for Associate Director of Grants, ORA and SOM leadership and other central offices, as needed.
  • Train new team members and trainees on award workflow.
  • Serves as an additional account administrator for eRACommons.
  • Supports the Grants team on special projects, as assigned.


Post Award (non-financial)

  • Oversees the SOM federal awards workflow process.
    • Examine received grant award notices for completeness and accuracy.
    • Review grant records for completeness and compliance with sponsor and university policy.
    • Prepare award notices and backup documentation for submission to Sponsored Projects Shared Services (SPSS) to set up or update the sponsored account in SAP.
    • Maintain excel spreadsheets for essential award statistics (all electronic awards processed, all awards place on hold, etc.
    • Communicate with department faculty and staff and SPSS to resolve award workflow issues, such as guidance for removing workflow holds, confirming whether an award has been workflowed, etc.
  • Primary reviewer and approver of no-cost extensions, including, but not limited to automatic NCE's submitted in eRACommons.
  • Reviews and approves Fibi proposal records for department-submitted federal progress reports.
  • Facilitates NIH closeout process, including, but not limited to: review and verification with the tech transfer Inventory Specialists of department-and PI-submitted Final Invention Statements, ensuring timely submission. Monitors eRACommons closeout report to ensure continued compliance.
  • Assists Grants Directors with administration of internal and external grant programs (Clinician Scientist Awards; MSCRF Stem Cell Awards, etc.)
  • Assists team members with non-federal workflow, as needed.
  • Other duties as assigned.


Pre-Award (non-financial)

  • Create proposal development records for interdivisional grant submissions.
  • Potential to review and submit post-submission materials.
  • Potential to assist Grants Directors and Associates with Just-In-Time requests and application review during heavy deadline periods.

Minimum Qualifications
  • Must be detail-oriented, well-organized, and able to handle multiple projects in a busy, deadline-driven, customer-focused environment.
  • Must demonstrate excellent verbal and written communication skills.
  • Ability to work as a team and independently.
  • Proficient in MS Office, especially Excel and with PDF editing software such as Adobe Acrobat or Fox-It PDF Editor.
  • Bachelor's Degree in related discipline.
  • Three years related administrative experience required, preferred that one year is in a sponsored research environment.
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications
  • Familiarity with federal grant mechanisms and policies.
  • Familiarity with proposal preparation.

Starting Salary Range: $53,300 - $93,500 Annually ($75,000 targeted; Commensurate with experience)
