Job description

The Sr. AP Analyst is responsible for providing functional leadership and support of the day-to-day departmental Accounts Payable operations. The Senior Accounts Payable (AP) Analyst manages key vendor relationships and oversees vendor accounts. This position will also perform other routine departmental functions including merchandise invoice matching, AP batch verification, invoice uploads, Factor inquiries, supporting audit functions, processing payments, and supporting the AP team in any area. This position reports to the Accounts Payable Manager.

Duties and Responsibilities:

  • Perform AP Merch invoice matching process, researching, resolving, and reconciling invoice discrepancies and vendor statements.
  • Verify AP batches, Merch and Expense.
  • Prep for check runs and processes payment procurements.
  • Keep and maintain accurate and detailed records.
  • Assist with audits as assigned.
  • Manage key vendor relationships involving frequent communication with 3rd party business partners on behalf of the organization.
  • Confirm payment information and vendor contacts.
  • Provide first level leadership support for AP Analysts and AP Clerks.
  • Train new staff members and provide ongoing job coaching.
  • Manage AP exceptions and troubleshoot problems.
  • Perform other duties and responsibilities as assigned by supervisor

Knowledge, Skills, and Abilities:

  • Demonstrated advanced attention to detail.
  • Knowledge of Microsoft office products (Excel, Word, basic email).
  • Ability to operate basic office equipment including computers and copiers.
  • Knowledge of interaction between invoices, purchase orders and receipts preferred.
  • Ability to effectively and professionally communicate both verbally and in writing.
  • Ability to interface with external vendors and customers, and to maintain good working relationships.
  • Demonstrated math skills and the ability to perform basic arithmetic.
  • Ability to meet deadlines and work autonomously.
  • Ability to maintain and uphold information confidentiality for the organization.
  • Ability to review documents and identify errors.

Education and Experience:

  • A High School diploma or GED equivalency is required, a bachelor’s degree in accounting is preferred.
  • Four (4) years of experience in Accounts Payable/receivable, financial reporting, or finance analysis is required.
  • An equivalent combination of education and experience may be considered.
