Sponsorship Sales Assistant

MAJOR DUTIES AND RESPONSIBILITIES

• Type and transmit Sponsor contracts.
• Track signed and unsigned Sponsor contracts.
• Generate Sponsor invoices.
• Maintain Sponsor benefit records.
• Transmit Sponsor confirmation letters.
• Assist in ensuring Sponsor website pages are updated.
• Assist in ensuring all sponsor program ads are received in a timely manner.
• Assist in ensuring all sponsor video spots are received in a timely manner.
• Assist in ensuring all sponsor inserts are received in a timely manner.
• Assist in production of corporate sponsor balloon banners.
• Track Corporate Village tents and occupancy.
• Assist in coordinating Corporate Village buttons and Fiesta Tent wristbands.
• Coordinate, Order, Assign and Activate Sponsor Hospitality passes.
• Collaborate to ensure timely review and manage editorial deadlines for Event Program.
• Assist in ensuring successful management and distribution of Government Relations benefit program.
• Maintain Sponsor inventory records.
• Coordinate Isotope Game Sponsor Events with Sponsorship Sales Director.
• Attend AIBF marketing and networking events.
• Coordinate and work with Sponsor Relation volunteers.
• Clean Balloon Fiesta Park and Office.
• Other duties as determined by the Corporate Sales Manager, Event Director and Executive Director.

FACTORS REQUIRED FOR THE POSITION

Knowledge and Ability:  Ability to work effectively with Sponsors and Corporate Sales team in a high paced, stress filled environment.  Proficiency in Microsoft Word, Excel, Outlook, Access and QuickBooks.  Excellent organizational skills.  Operate standard office equipment including copier, postage and folding machines.
