Responsible for supporting the Export Sales and Claims departments by processing, gathering and reviewing all pertinent documents required by our customers who export Sunkist fruit overseas from local and global packinghouses.

Responsible for invoicing such fruits shipments and re-invoicing them due to price adjustments upon request from the Sales department. Responsible for the invoicing portion of the claims that are processed by the Claims department due to fruit decays.

Essential Job Functions and Responsibilities:

  • Each specialist is assigned the appropriate country of which customer they will be invoicing. For company arranged orders assigned by Sunkist, the specialist will review the phytosanitary certificate, invoice and sea waybill (non-rated) to ensure all is correct before sending it to the customer.
  • Each specialist reviews the documents they are assigned to and submits these to the customer to ensure the fruit overseas are cleared by customs with no issues.
  • Documents required are typically an invoice, a phytosanitary certificate and a sea waybill for company arranged orders and for U.S. Exporters, an invoice with the correct price is all that is needed.
  • The invoices are verified in-house by the weekly scale the Export Sales team publishes to the customer.
  • Export Documentation department works with SOS (Sales Operation) to ensure the pricing in Prophet is reflecting correctly based on the FOB and CNF price. If it is not pricing correctly, they communicate directly with SOS to correct before they can invoice.
  • Export Documentation department works with a freight forwarder to ensure the sea waybills are reviewed and approved to be sent to the customer. If there is any discrepancy with the sea waybills, they communicate with the freight forwarder directly to rectify.
  • All rated sea waybills are submitted to Finance to pay the vessel liners in a timely manner so the cargo can be released.
  • Receives invoices/bills from JLG (freight forwarding agency) in Microsoft NAV for payment through purchase orders.
  • Communicates with packinghouses and reviews their Phytosanitary Certificates for any inconsistency. Processes FedEx tracking information/courier paperwork used in mailing original documents such as Invoices, Phytos and Certificates to Costco Taiwan and customers in Europe; Sends electronic documents to each customer once all documents are complete; Creates customer folders and labels, and filing all document backups in their respective folders and digital back-up. Accomplishes department and organization goals by completing related tasks as needed. Processes data in Excel as requests come in; retrieves data from Microsoft NAV and/or Prophet and summarizes findings. Creates master list/log of orders in Excel updating it by manually exporting order details from Prophet in the event of a discrepancy. Organizes files in boxes for storage after every October year-end close; enters and maintains details of boxed contents at the GRM (storage facility) website.
  • Creates credit notes for Claims department and forwards to PCI once done.
  • Work with Finance and attempt to research price discrepancy whenever there is a chargeback from the customer.
  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Minimum Educational and Experience Qualifications/Requirements:

  • 4-year Bachelor Degree
  • 2-4 years’ experience working in a fast-paced environment.
  • Ability to be organized and accurate when documenting export and claims activities.
  • Ability to perform basic math, including calculations using fractions, percent’s and/or ratios.
  • Possesses strong computer skills: must be proficient in MS Office including Word, Excel and Outlook; ability to operate standard office equipment.
  • Ability to spot errors on documents/reports in system and/or on computer screen.
  • Possesses excellent interpersonal, teamwork and communications skills, including ability to effectively communicate with internal and external customers.
  • Ability to review standard quantity of cartons on a boat or order, types of commodities, sea waybills and to compare documents from a freight forwarder to an existing order.
  • Ability to work in a team environment, attentive to ideas, recognize responsibilities and actively participate with others to accomplish assignments and achieve desired goals.
  • Ability to read/decipher system reports and other documents with very small print.
  • Ability to safely and successfully perform the essential functions consistent with Sunkist standards, other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to talk, listen and speak effectively on telephone; read, write and understand written documents and policy.
  • Ability to process (review/organize) large amounts of information containing many components in a work environment with varying levels of distractions.
