Position: Special Projects Administrator
Department: Administration
Classification: Exempt
Salary Range: E3
Supervisor: CEO

Position Summary:
The Special Projects Administrator will conduct long-range planning for the organizations facilities and services, monitoring projects as approved by the CEO or designated Executive Leader. Under supervision of the CEO or other designated Executive Leader, the Special Projects Administrator will be assigned to one or more specific projects engaged by GCRC to oversee the planning, implementation, review, deliverables, and closure as well as document all aspects of the project. This role will work closely with teams and management to ensure the scope specific project direction is appropriate and complies with GCRC policies, procedures, mission and goals.
Duties & Responsibilities:
1. Provide oversight of one or more Special Projects undertaken by GCRC; conduct research; review, evaluate and analyze data, proposals and reports; prepare summaries and narrative to report back status and findings to CEO and Executive Leadership.
2. Prepare agenda, materials, and presentations to deliver to the CEO or other Executive Leadership for purposes of use at Tribal Council or other public meetings and events.
3. Evaluate and complete action plans; resolve problems; complete reports/audits; identify trends; determine ancillary requirements or impacts; plan contingencies and closure processes; monitor post implementation changes and improvements.
4. Provide operational expertise, assistance, information, and advice as appropriate to project teams and team members.
5. Research existing, new and proposed guidelines or rules affecting specific project operations and inform appropriate project leaders and team members of changes in requirements; identify necessary updates to policies and procedures.
6. Coordinate and ensure mandates and other requirements are prepared and disseminated as needed; evaluate project outcomes as established in the project plan.
7. Develop and contribute information; communicate recommendations for improvements of organizational, structural, utilization, and other project components to CEO and Executive Leadership.
8. Monitor project status and provide regular updates through proactive communication to the project sponsor, leadership, and stakeholder groups.
9. Attend regular project meetings to monitor project scope and stakeholder expectations.
10. Document project closing activities: project acceptance criteria, contract closure, and compilation of lessons learned.
11. Keep the COO and CEO apprised of all issues and concerns.
12. Perform related duties as assigned.
Knowledge and Abilities:
1. Prior project management and experience in the hospitality/tourism industry.
2. Demonstrated ability to make financial, budgetary and facilities management decisions related to project administration.
3. Demonstrated ability to interact with a diverse group of guests, executives and staff and provide prompt, outstanding service.
4. Demonstrated ability to understand questions being asked and provide detailed information regarding facilities and operations.
5. Demonstrated ability to communicate in a clear, concise manner and handle escalated issues. Ability to remain calm and focused under pressure.
6. Demonstrated ability to foster a productive environment, multi-task efficiently and maintain positive working relationships. Excellent organizational skills.
7. Knowledge of Grand Canyon West locations and operations, Hualapai River Running and Hualapai history and culture.
Distinguishing Characteristics:
The Special Projects Administrator is not a department or program administrator and does not supervise contracted or hourly staff. The activities and job tasks are specified in the current project(s) being assigned, as the Special Projects Administrator oversees the workflow related to the project scope, adherence to timelines, and associated implementation.
The Special Projects Administrator provides substantive administrative support to the CEO or other designated member for the Executive leadership team who has been identified as the sponsor of the assigned project. The Special Projects Administrator will own key program management outputs, including executive status updates of progress, risks, necessary adjustments, interdependencies, and communication. This includes preparation and support of project updates for the CEO or designee to deliver at monthly Tribal Council meetings. The Special Projects Administrator will develop key relationships with dependency partners, and actively seek and promote engagement for increased collaboration of cross functional dependencies.
The Special Projects Administrator may serve as a liaison to the public, as well as other Tribal Nation departments, advisory committees, and business organizations and agencies as directed by the CEO or Executive leader. The duties listed are intended as illustrations of the various types of work that may be performed, and are not an all-encompassing description of every duty that may be required to be performed in this role.
Qualifications:
1. Bachelors Degree in Business Administration or another related field, preferred.
2. Minimum of five (5) years related experience in an administrative capacity, required.
3. Chief Executive level leadership experience in a related industry, required.
4. Ability to collaborate effectively with key stakeholders; ability to work in a diverse environment.
5. Strong sense of accountability and ownership.
6. Knowledge of GCRC policies and procedures, and all applicable codes and regulations.
7. Understanding of economic, social, and cultural impacts and barriers.
8. Principles of GCRC administration, supervision, and management.
9. Ability to work effectively and efficiently both as an individual and as part of a team.
10. Strong verbal and written communication skills, as well as strong interpersonal and organizational skills.
11. Experience working for a Tribal entity, preferred.
12. Valid Drivers License with a clean driving record.
13. Preference given to Hualapai Tribal members.

Working Conditions:
Usually involves an office, but certain projects may require nonstandard workplaces. Travel (local and statewide) for meetings and project assessments. Some varied hours, evenings, weekends, and holidays as necessary to meet project goals.
