Position Overview
**THIS POSITION ONLY FOR SUMMER 2024. NOT TO EXTEND PAST AUGUST 17, 2024**
KU Recreation Services, a department within Student Affairs, provides a campus-wide impact at the University of Kansas by improving the quality of life for all students, faculty, staff, affiliates, retirees, alumni, spouses, and domestic partners. KU Recreation Services provides state-of-the-art recreational programs (Fitness, Intramurals, Outdoor Pursuits, and Sport Clubs), facilities, and services.
The Ambler Student Recreation Fitness Center (ASRFC) is a $17 million facility which opened in September 2003. In 2008, a $6.3 million expansion was completed, increasing the total indoor space to 150,000 square feet. The ASRFC is comprised of many different activity spaces: 16,000 square feet of cardiovascular resistance training and free weight equipment, six indoor basketball/volleyball courts, a three-lane suspended jogging track, an aerobics studio, a martial arts studio, four racquetball courts, one squash court, a dasher board system gymnasium, a golf simulator, a 42-foot climbing wall and bouldering wall, two outdoor basketball courts, a conference room, and multimedia room.
Job DescriptionThe Special Events Program Manager will enforce and implement policies and procedures or complete particular responsibilities so that the University population has the opportunity to participate in specially requested recreational programs, facilities, and services. Program Managers are expected to work 12 to 15 hours per week. Those hours can be broken into office hours and floating hours to use when needed. The Program Manager must be certified in CPR/AED or become certified within one month of appointment.
Duties include but are not limited to the following:
General Responsibilities and Expectations
  • Reservations and Special Event Administration:
    • Coordinate with facility and equipment reservations, and special event requests
    • Responsible for setup/preparation and breakdown/clean-up of Special Events
    • Responsible for knowing the day-to-day operations and daily events scheduled
    • Responsible for staffing all Special Event Monitor shifts
  • All decisions, actions, and enforcement of policies and procedures shall maintain a high level of integrity and consistency
  • Be available (during open hours and after hours) to staff any and all events in the building, at Shenk Sports Complex, Central Field, and Outdoor Volleyball sites as assigned or scheduled
  • Scheduling:
    • It is the responsibility of the Special Events PM to create and maintain the employee schedules for the Special Events Monitors.
      • Schedules are created by using When2Work with the PM overseeing this process as events are scheduled and according to facility needs.
    • The PM should be available as needed during special event programming. On occasion, it may be necessary for the PM to assist getting a shift covered upon short notice and/or fill in for that employee.
    • The PM is also responsible for filling in when a student employee does not come in for a shift without notice. It will be up to the discretion of the appropriate administrative staff member and the PM to take disciplinary action according to the Facility Manual in these instances.
  • Employee Supervision:
    • The PM serves as a liaison between Special Event Monitors and the Administration Staff, providing feedback as needed.
    • The PM will assist the administrative staff with employee performance evaluations.
    • The PM is responsible for holding all Special Events Monitor student employees accountable to the Student Employee Discipline and Work Performance Guidelines as described in the Facility Manual.
    • The PM is responsible for maintaining Special Event Monitor employee records. This includes, but is not limited to: CPR certification, up to date email, phone numbers, and emergency contacts, disciplinary records.
  • Employee Hiring – The PM will assist in the hiring of new student employees. The PM is responsible for reviewing all applications. The PM is also responsible for scheduling interviews for selected applicants, assisting in the interview process, and notifying candidates of hire/no-hire.
