Clean Water Action is a national, grassroots environmental organization that seeks to protect the environment and safeguard public health, promote passage of strong environmental laws, and help communities address local environmental problems affecting them. Clean Water Action has close to 1 million members nationally. Clean Water Fund provides research, education, organizing, and technical assistance to strengthen grassroots environmental efforts around the country, promoting the public interest on issues related to water, natural resources, health, and a healthy economy. Clean Water Action and Clean Water Fund work together on selected campaigns and programs.
Clean Water Action and Clean Water Fund is seeking a Special Assistant to the President/CEO. The Special Assistant will be responsible for supporting the CEO through a combination of project coordination, writing and editing, research, and high level administrative and relationship support functions. The Special Assistant will also provide administrative and project support to Clean Water’s National Field Director and to our diversity, equity, inclusion, and justice programs, as well as administrative support for our Board of Directors and general administrative duties at our national office in Washington, DC.
Responsibilities
CEO Support
Provide administrative support to the CEO, including but not limited to scheduling, expense report management, travel coordination, preparing the CEO for critical internal and external meetings, and managing special projects as requested.
Responsible for calendar management, requiring interaction with both internal and external stakeholders.
Represent the CEO and organization in a professional and congenial manner in person, virtually, in telephone conversations, and in written correspondence.
Draft and prepare correspondence/emails on behalf of the CEO.
Manage email traffic and prepare responses as requested for CEO approval.
Ensure that requests for action or information are relayed to the appropriate staff member.
National Field Director Support
Assist with scheduling for internal and external meetings, taking notes, and coordinating follow-up tasks.
Additional support may include coordinating transportation needs and coordinating/tracking reimbursements, technical support, and assisting with communication to/from state directors on various issues.
Support for DEIJ Initiatives
Provides research and other assistance to the CEO and the Organizational Culture Director on matters pertaining to diversity, equity, inclusion, and justice (DEIJ)
Assists with annual reporting of DEIJ initiatives and data.
In addition, the Special Assistant may be called upon to coordinate/assist special DEIJ projects as needed.
Board Support
Prepare and distribute meeting notifications and coordinate travel arrangements to/from meetings (currently two meetings per year).
Attend board and committee meetings and record minutes.
Coordinate the preparation and distribution of board materials in advance of board meetings.
Establish working relationship with the Board chair and committee chairs in verbal, written, and electronic correspondence.
Maintain contact lists of board and committees, including website updates.
Office Administration and Other Responsibilities
Handle mail delivered to our Washington DC office, including processing checks and overseeing bank deposits.
Update and maintain information and resources on our organizational intranet to ensure it is kept up to date and supports our staff.
Oversee smooth functioning of the DC Office and coordinate on-site technical support for our Washington, D.C. office, in conjunction with our National Data and IT Manager
Provide on-the-ground coordination for our annual fundraising event in Washington.
In addition to the above, there is potential to coordinate special projects, programs, and writing assignments, as needed.
Qualifications
A minimum of two years of experience in a similar role (ideally in a nonprofit) is required.
Strong interpersonal skills are required.
Prior experience in environmental justice, water pollution, and drinking water issues is helpful but not required. A desire to gain knowledge of Clean Water’s issues and programs, and/or to learn more about nonprofit development, such as grant writing and campaign fundraising, is sufficient.
Commitment to racial justice and equity and experience working with diverse communities and staff is required.
Strong written and verbal communication skills are required.
Experience using Microsoft Office Suite products (Word, Excel, Outlook, Teams) and Slack is required. Experience working with Engaging Networks, Raiser's Edge, and/or other CRMs or experience with general database management would be helpful.
Candidates should be highly organized with excellent time management skills, and the capability to meet deadlines despite frequent disruptions.
Candidates should have a proven track record of taking initiative and devising creative solutions to problems.
Candidates must have a record of exercising sound judgement and discretion.
This position is hybrid and includes the opportunity to work from home and at Clean Water Action’s office in downtown Washington, D.C. Candidates must be able to work in our office at least 2-3 days per week. For remote work, it is essential for the candidate to have high-speed internet access.
The Special Assistant may be required to travel to other Clean Water offices and events on occasion.

Salary ranges between $65,000 - $75,000 depending on experience. Attractive benefits package.
