The Spa & Recreation Group and Wedding Coordinator works with the sales and conference services department to maximize the sale of spa services to groups and leisure guests. Additionally, they are the liaison between groups, bridal parties, and reservations at the Spa. Their responsibilities include booking all appointments for groups, ensuring all appointments go smoothly, and following up to ensure they enjoyed themselves. They will also assist The Spa Concierge team with their duties when they are not working with groups.

ESSENTIAL FUNCTIONS:

  • Review sales and catering contracts to identify spa sales opportunities, and reach out to groups and weddings to find those interested in booking with the spa.
  • Work with social SPA GROUPs not associated with hotel/group business for bridal parties and social group sales.
  • Negotiate terms of the group; discounts and packages while working within the confines of the sales process.
  • Maintain a database of group events and communicate with all coordinators and spa managers as necessary.
  • Ensure the day of group activities go smoothly by communicating with the spa team.
  • Provide courteous, efficient service to all guests and spa visitors.
  • Assist guests with booking appointments in person, over the phone and by email.
  • Maintain an up-to-date knowledge of the spa treatments and amenities to provide guests with the most accurate information.

Qualifications

  • High school diploma or equivalent required. College degree preferred.
  • Customer service experience.
  • Prior spa or hospitality experience preferred.
  • Excellent communication skills. Is able to communicate verbally and in writing in English.
  • Is able to stand/walk up to 6-8 hours per day.
  • Technical proficiency (basic computer applications)
  • Attention to detail.
  • Strong organizational and time management discipline.
  • Solid judgment and ability to resolve conflicts effectively.
  • Ability to multi-task and operate effectively in stressful situations.
  • Ability to adapt to changing guest needs.
  • Will be required to support operations during peak times; holidays and weekends.
