The Spa Coordinator is responsible for welcoming guests, preparing them for services, ensuring their comfort and relaxation through guest amenities, and proper guest flow through the spa on a daily basis. The Spa Coordinator is responsible for preparing beverages for the guests prior to, during, between and after services. The Spa Coordinator will work closely with therapists to ensure that each guest is comfortable and on-schedule for their treatment(s). The Spa Coordinator is responsible for conforming to standards set forth in the Team member Handbook and Operations Manual and will strive each day to exceed our guest's expectations.
Responsibilities
• Answer phones
• Assist General Manager with duties as needed
• Covers duties of Concierge when necessary
• Ensure laundry services are completed daily
• Schedule appointments using computer software. Takes full ownership of appointment book.
• Create monthly concierge schedule
• Fully trains all new concierges and provides continuing education for all concierges.
• Open the drawer every morning
• Print daily schedules
• Maintain organization and appearance of the entire spa
• Escort guests to dressing room, service areas, etc., when needed
• Provide amenities to guests when needed
• Greet guests
• Confirm appointments
• Prepare and sell gift cards
• Recommend and sell retail products
• Check in new retail products, process purchase orders
• Educate guests on spa services and retail products
• Handle guest discrepancies and guests who are not satisfied with their spa experience
• Perform an opening sweep daily to make sure all opening duties have been completed
• Ensure proper lighting, music, cleanliness, and aromatherapy as set forth in the Ambiance Standards
• Protect THE WOODHOUSE Brand
• Abide by all protocols set forth by THE WOODHOUSE CORPORATION
Work Hours
The Spa Coordinator is expected to work 32 hours per week including evening and weekend shifts. Shifts range from 9am-3pm, 2pm-8pm (Monday through Saturday) and 10am-6pm (on Sundays).
Organizational Relationships
The Spa Coordinator reports directly to the General Manager.
