Position Summary
This recruitment will be used to fill one part-time (a maximum of 24 hours per week) SOA Fiscal Specialist position for Student Organizations & Activities (SOA) at Oregon State University (OSU).
Student Organizations & Activities (SOA) provides administrative support to the recognized student organization program on the Corvallis campus, including recognition, training & education, process/procedure management, event planning, organization development and fiscal management. Fiscal Specialists serve as members of the SOA team and work closely with professional staff, Peer Educators, and the SOA Media & Marketing Specialists to support the work of recognized student organizations at OSU. For the 2023-24 school year, we are seeking students who will think critically, creatively, and openly in a team-based environment.
We believe that every student should be able to find belonging and creatively express themselves so they can reach their true potential and make valuable contributions to their communities and the world around them. As the hub for student organizations, media, and creative expression, Experiential Learning & Activities (ELA) provides resources, advising and media platforms that help students of all identities create activities, share stories and build communities that reflect their passions, cultures and lived experiences. ELA comprises Student Organizations & Activities - Clubs & Orgs and OSU Program Council (OSUPC) - and Orange Media Network (OMN). ELA is a department of the Student Experiences and Engagement organization within the Division of Student Affairs.
Position Duties
  • Maintain regular office hours to assist in the facilitation of SOA financial services
  • Provide one-on-one consultations to provide fiscal information, referrals, coaching or education
  • Assist clubs in credit card check out and process
  • Assist clubs in funding process
  • Work to learn, enhance, and promote diversity and social justice
  • Uphold the values of SOA, ELA, and SEE
  • Participate in signature SEE-wide events and programming each term
  • Engage in ongoing professional development and community building
  • Complete other administrative tasks as needed
  • Provide General Event Support that includes the following:
  • Attend and support SOA events as needed with items like: hand stamping, card swiping, keeping head count, food production and service, and/or ticket scanning
  • Assist SOA Admin in the ticketing process for events, including sales, deposits, tracking payments, creating e-tickets, meeting with clubs to talk about their e-ticketing form and general ticketing questions

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
    • High School student: Regularly enrolled in a high school or participating in a home-schooling program
    • Undergraduate and post-baccalaureate student: 6 credit hours per term
    • Undergraduate international student: 12 credit hours per term*
    • Graduate student officially admitted to Graduate School: 5 credit hours per term
    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

*International students may be allowed to carry fewer hours than specified above and still be considered "full-time" by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.
Additional Required Qualifications
  • Desire or interest working in a team oriented environment
  • Ability to organize work, manage time, and follow through on tasks in a self-directed environment
  • Desire or interest in working with a variety of organizations and people from diverse cultures, communication styles, histories, and team structures
  • Experience in leadership activities, student organizations, community service and/or outreach activities
  • Demonstrated problem solving and decision-making skills
  • Must be an enrolled for at least 6 academic credits (undergraduates) or 3 academic credits (graduates) at Oregon State University or an affiliated institution (like Linn-Benton Community College) throughout employment
  • Must be in good academic standing for the term prior to selection and during entire period of employment
  • Must maintain at least a cumulative GPA of 2.0 (undergraduates) or 3.0 (graduates) and be in good academic standing

Preferred (Special) Qualifications
  • Experience working collaboratively as a part of a team
  • Previous experience working for any of the units in SEE
  • Experience engaging traditionally underrepresented social identities (i.e. Race, Gender, Gender Identity, or Ability)
  • Knowledge of or experience with event/program planning or project management
  • Demonstrated knowledge of PC software, specifically Microsoft Office (Word, Excel, PowerPoint), Adobe (Illustrator, Photoshop, Premiere), Canva, Microsoft Teams, and Google Suite (Docs, Slides, Sheets, Forms)

Working Conditions / Work Schedule
  • Term of employment is September 9, 2024 through June 15, 2025; opportunities to work before this date may be available.
  • Fall Training September 9-September 13, 2024, and September 24, 2024 is required of all staff.
  • Winter Training January 11, 2025 is required of all staff.
  • Expected to work an average of 10-20 hours per week.
  • Expected to work evening and weekend hours, as required, to support campus programming.
  • Required to attend weekly staff meetings, supervisory meetings, and committee or work group meetings.
