Shipping / Receiving Coordinator

This role is onsite at our Bardstown, KY location, Monday-Friday 11am to 7pm.

What the Role Is

The Shipping/Receiving Coordinator is responsible for all aspects of preparing required documentation for movement of product including verifying and processing all inbound paperwork, managing all allocated orders within Heaven Hill Brands Warehouse Management System and preparing all shipping documentation in a timely manner.

How You Will Spend Your Time?

• Verify and process all inbound receiving paperwork. This includes signing for deliveries, verifying inventory quantities on returns, and potentially working within our ERP system (IFS) to process inbound receipts of finished product.
• Work directly with Customer Service to coordinate and monitor the daily appointment log for the shipping dock.
• Coordinate with the Security Guard checkpoint to manage and track all trucks entering our facility. This would include managing the dock doors at arrival and keeping inventory of all trailers, both empty and full, that are dropped at our facility.
• Check-in and facilitate all drivers upon arrival.
• Manage all allocated orders within Westfalia, our Warehouse Management System. This includes but is not limited to the following: releasing warehouse work for automated layer picking system and manual picking area, coordinating with Customer Service on any issues or corrections that may need to take place, releasing completed orders at time of pick-up based on dock coordination and managing dock doors to maximize loading and unloading efficiencies.
• Prepare all shipping documentation at completion of truck loading. This would include printing, copying, and scanning documents as well as obtaining driver signatures.
• Create bill of ladings for all trucks that are transporting product for outsourced work.
• Generate and submit various reports with regards to our shipping & receiving operations This would include but not limited to Daily Shipping Logs, Outsourced Tracking Logs and Heaven Hill Truck Reports.

Who You Are…

• High School Diploma or equivalent required
• Minimum 2 years of office administration or clerical experience required, preferably in a distribution/manufacturing environment
• Knowledge of principles and methods for moving consumer goods, including the relative costs and benefits.
• Knowledge of business and management principles involved in production methods and coordination of people and resources
• Knowledge of raw materials, production processes, quality control, costs, and other techniques for maximizing the effective manufacture and distribution of goods
• Strong attention to detail with the ability to gather information and utilize the information to make decisions and resolve problems
• Establish and maintain interpersonal relationships
• Strong organization, deadline and detail oriented
• Provide excellent customer service
• Ability to work in fast-paced warehouse environment, handling multiple tasks with competing deadlines
• Excellent computer skills with a proficiency in Microsoft Word, Excel, Outlook and (ERP) computerized inventory tracking systems
• Must be a highly motivated and self-directed individual

Valued but not Required Skills and Experience:

• Advanced computer skills including Microsoft Word, Excel, Outlook and IFS
• Experience in a distilled spirits industry

Physical Requirements

• While performing duties of job, employee is occasionally required to stand; walk; use hands and fingers to handle, or feel objects, and use of computer; reach with hands and arms. Employee must occasionally lift and/or move up to 50 pounds.
