SERVICE COORDINATOR JOB PURPOSE:
Nikon Metrology is seeking an experienced Service Coordinator who will be responsible for the coordination of parts and personnel to support the service departments field operations.

KEY AREAS OF RESPONSIBILITY:
- Work side by side with the Service Manager & Administrative Coordinator.
- Coordination of field service engineer work
- Formulate and maintain the service schedule; adjust and update as needed.
- Contact customers to arrange and confirm site visits.
- Distribute work schedules to the field service team.
- Oversee part logistics as needed for service work.
- Ensure the timely and appropriate shipment of parts needed for field work.
- Tracking of part shipments and coordination with customers.
- Maintain communication between the customer and the service department regarding pending jobs.
- Ensure customers are informed of forthcoming service visits and updated of changes as needed.
- Plan for upcoming jobs.
- Shipping of parts as needed in advance of future jobs.
- Escalation of obstacles such as part shortages.
- Ensure advanced requirements for site visits are addressed i.e., training, paperwork, licensing, notice periods, etc.
ANCILLARY RESPONSIBILITIES:
- Liaise with other departments such as Project management, Sales, Finance, Order Fulfilment, and Manufacturing as needed.
- Assist with initiatives such as model obsolescence notifications and software distribution.
- Be able to improve existing and develop new procedures that will enhance the efficiency of the department.
- Maintain records through CRM & Top desk ticketing software.
- Assist with issuing quotes as needed.
- Email customer satisfaction surveys after service visits.
- Issue shippers for pre-job materials.
- Distribute customer contact details and job information for FSE and Contractors.
- Track timely submission of weekly paperwork from the field
- Run weekly reports for parts on order
QUALIFICATIONS:
ESSENTIAL
- 2+ Years’ experience in a similar customer facing role
- Experience with two or more of the following areas: Shipping, Order Entry, Invoicing, Order Fulfillment, Purchasing and Inventory Movement.
DESIRABLE
- 2-year degree or higher
- Technical background
- 2 years of experience with working in Navision or other ERP software.
- 2 years of general financial knowledge and/or background.
WORKING ENVIRONMENT/PHYSICAL REQUIREMENTS:
- Must be able to sit for extended periods of time.
