Job description

POSITION GOAL:
To provide support to the Human Resources team and assist with various HR functions of the district. This position will also serve as the receptionist at the District Office. The individual supports the overall mission of the DO in all of its activities and manages the daily influx of District stakeholders that may come to the DO for direction, guidance and/or information.

  • Possess appropriate level of education and experience to perform the essential duties relative to the position.
  • Ability to comprehend, analyze and interpret general business periodicals, professional journals, technical procedures, governmental regulations, safety manuals, etc. and to generate routine reports and correspondence pertinent to the essential job duties.
  • Ability to communicate and to demonstrate interpersonal skills effectively in dealing with students, staff, parents, community members, and educational agencies as related to performance of the duties of the position.
  • Ability to perform mathematical operations and to apply mechanical skills and technical skills to accomplish the essential duties of the position.
  • Ability to interpret and to carry out instructions furnished in written, oral, diagram, or schedule form.
  • Ability to perform routine tasks cooperatively and to adjust to interruptions, variables, or changes in standardized situations.

SPECIFIC QUALIFICATIONS:
  1. High School diploma required.
  2. Satisfactory completion of pre-employment testing. Suitable level of computer technological skills to include routinely utilized software programs such as Microsoft office suites and HRIS systems
  3. Pleasant personality, with ability to multi-task and resolve phone issues and/or visitor issues. Must have the ability to quickly resolve problems and deal effectively with difficult and/or confrontational/contentious matters or individuals

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  1. Greets all visitors courteously, determines their needs, answers their questions, and directs or escorts them to the proper person.
  2. Answers office telephones and responds appropriately to requests for information. Makes telephone calls as directed by immediate supervisor or to accomplish school tasks.
  3. Types a variety of material and uses computer for word processing and spreadsheet development
  4. Maintains a comprehensive filing system.
  5. Operates office machines as necessary.
  6. Receives and routes all incoming mail.
  7. Provides employment applications and information to prospective candidates.
  8. Assumes responsibility for ensuring that candidates' files are complete for employment processing.
  9. Contacts applicants as directed to schedule interviews.
  10. Ensure onboarding documents are sent to prospective new employees.
  11. Reviews new employee applications and/or resumes and makes a determination as to whether or not the Act 168 Sexual Misconduct/Abuse Disclosure Release form needs to be mailed to the prior employers of the candidate being hired. If deemed appropriate, send the form and tracks receipt of the form
  12. Ensure all mandated background clearances are completed timely of all new hires by assisting those applicants and/or employees with limited computer knowledge and or access in obtaining the three required background checks on line.
  13. Update and maintain employee records in HR system/Employee Files with all background clearances.
  14. Maintains a tracking system of those new hires who are required to provide clearances within the established "grace" period. Sends follow up letters to those who fail to provide the clearances within the established timeframe
  15. Enters hourly employees into time clock system.
  16. Manages employee photo identification program making sure to coordinate issuance of proximity cards to certain employees.
  17. Sends confirmation letters to employees following Board Meeting notifying them of personnel action taken.
  18. Maintains records concerning employee annual evaluations completed.
  19. Uses Applicant Tracking system to help with recruiting workflow.
  20. Coordinates with other H.R. staff members the acquisition of necessary supplies
  21. Processes applications and requests for Senior Citizen Gold Card passes.
  22. Perform other duties as assigned.
