We are looking for a Senior Occupancy Planner to join our Occupancy Planning and Management team in the Beaverton, OR. This is a hybrid position requiring someone to be on-site 4 days a week.
The Senior Occupancy Planner, you will be responsible for providing strategic occupancy planning expertise, leveraging a deep understanding of our client's space supply and demand to develop scenario and occupancy plans for our client's portfolio. You will recommend, educate, and enforce space policies/standards, procedures, and protocols, notify the client of customer-requested exceptions, and, as necessary, assist in developing site-specific Planning Strategies. You will be a Subject Matter Expert in the client's workplace program and in using data to drive solutions that increase productivity. You will be a leader in the Occupancy Planning and account team, modelling superior client relationship management and strategic thinking.
In this role, you will prepare and update project status reports on actual seat demand versus projected seat demand at the building level, reporting out on the current supply and capacity, and forecast inventory changes as required. This role will be charged with reporting the seat count projections collected at the group-level for an annual planning horizon and work with the client to reconcile discrepancies, as well as track and report actual seat demand at the group level, as well as ensuring that data is well documented and up to date on presentations and in our CAFM system for your projects. When needed you will assist in developing sequencing group-level moves.
Key Responsibilities
  • To be successful in this role, you should be able to ensure accurate reporting of information, and foster critical relationships between various individuals and organizations communication channels will exist with:
  • Corporate Real Estate to review and resolve planning forecast requirements, concerns and issues; for your assigned buildings, and neighborhoods.
  • Foster strong, trusting and positive relationships and partner with HR business partners, business unit admins and points of contact to collect headcount forecasts and resolve headcount forecast discrepancies between leadership's numbers and those collected at the group level in a proactive, responsive and timely manner.
  • Ensure teams have adequate space to accommodate current seat demand and future growth. Maintain accurate Operating Procedure "OP" database.
  • Partner with Workplace Insights and Technology on any BI-related tool inputs and information Build stack plans and PowerPoint presentations specific to building details needed to support Strategic Planning and Sr. Planners.
  • Be meticulous about details and data

  • Project management to review planning strategies that drive construction projects and support implementation of these projects;
  • Move coordination and facility management teams to review and approve moves, develop migration plans and conduct facility audits; and ensure accuracy
  • Other members of the occupancy planning team to ensure cross campus/portfolio strategy plans are developed
  • Integration of occupancy data into POR for the purpose of accurate strategic-led decisions across the portfolio
  • Develop quarterly occupancy report
  • Data accuracy to influence planning and portfolio ecosystem holistically from an enterprise led approach
  • Piloting processes and software (such as AI enabled software) and run test scenarios + present findings on how it can be implemented on a broader scale
  • Strategic planning early to ensure seamless integration of strategic plans and activation
Required Knowledge, Skills & Abilities
  • Communication champion with excellent communication skills both written and spoken.

  • Proven ability to use advanced skills in Microsoft Excel (pivot table, vlook-up, cell calculations)
  • Ability to read architectural floor plans and perform basic AutoCAD functions
  • Proven presentation skills with PowerPoint to tell a story
  • Ability to read complex occupancy data and report out results
  • Strong team player
  • Strong data analytical skills and ability to articulate stories through data
Qualifications
• Bachelor's Degree in Real Estate, Finance, Architecture, Design, Construction Management, or related field is required
• Minimum of 3 - 5 years of experience in corporate environment.
• Previous experience in space/occupancy planning at a strategic level, plus experience with interior office renovations is highly desirable.
• CAFM system experience (Archibus experience is desirable)
