Job Description:
Reporting to the AUL for Access and Discovery, this position orders print and e-books, DVDs, streaming films, and other one-time purchases/licenses as requested by library faculty members. This position imports records for books, ebooks, DVDs, and streaming films into the integrated library system (Alma) and manages the library's book leasing collection.
In addition, the Acquisitions Specialist authorizes and tracks payments for library materials in Alma, the university's budget platform (Workday), and Excel spreadsheets. This position gathers and maintains collection-related statistics for annual reporting, industry surveys, and library business needs.

Essential Functions:
  • Manages one-time purchases/licenses for library collections including books, DVDs, and streaming films as requested by library faculty members; independently resolves issues with vendors for such resources. Verifies and reconciles expenditures and payments using Alma and Workday.
  • Serves as the primary receiving coordinator for book and DVD purchases and streaming film licenses. Enters appropriate information in Alma and processes material for the next step in its workflow. Troubleshoots as needed.
  • Compiles usage statistics for annual reporting, both for internal and external purposes. Works with the Discovery and Serials Manager to provide library faculty with usage and cost data on request.
  • Administers the McNaughton popular reading lease plan by ordering titles requested by the Library Student Advisory Board (LSAB) and/or library faculty, ordering, receiving, and processing new titles. Inventories and returns older books to vendors.
  • Works a regular shift at the Information Desk (up to 5 hours a week), assisting library patrons with checking out and returning physical materials, providing directional help, and referring reference questions as appropriate.
  • Participates in training and staff development, including self-directed and formal programs identified by the Acquisitions Specialist and/or AUL for Access and Discovery.
  • Maintains documentation to reflect current workflow procedures.
  • Other duties as assigned by AUL for Access and Discovery and/or University Librarian.

Work Schedule: M - F, 8:30 a.m. - 4:30 p.m.
Minimum Qualifications:
  • High school / GED required, Associate's or Bachelor's degree preferred.
  • Strong organizational skills desired and must be able to pay close attention to detail.
  • Interest in developing new technical skills and exploring new technologies through self-directed and formal training. Must be willing to receive additional training as required.
  • Excellent time management skills and the ability to handle multiple demands simultaneously.
  • Proficiency with Microsoft Office applications and working knowledge of Excel.
  • Ability to work independently and as part of a team; ability to be flexible in a dynamic environment.
  • Demonstrated ability to work in a courteous and professional manner within the work environment as well as with vendors and other external contacts.
  • Written and verbal communication skills commensurate with a professional workplace.
  • Previous experience with higher education and/or libraries and/or previous experience in library acquisitions, procurement, or purchasing a plus.
