Under the direction of the Operations Director, the Membership Specialist promotes services and activities of Primeplus, creating a welcoming and supportive atmosphere for patrons. The Specialist is responsible for maintaining the membership database and working cooperatively with staff to expand membership and services.

Essential Duties and Responsibilities include the following:

  • Coordinate all Senior Center Projects with the Operations Director
  • Assist with program scheduling, logistics and planning.
  • Create flyers and other marketing materials
  • Ensure proper room set up for all programs in-person or virtually.
  • Compiles and maintains membership lists.
  • Welcome new members and issue membership cards as needed.
  • Explain privileges and obligations of membership.
  • Address complaints and provides other information to members.
  • Revises existing membership records, compiles list of delinquent dues, and forwards information as needed.
  • Coordinate all mailings (newsletters, membership renewals, promotional materials, and other publications) to persons on mailing list.
  • Update Website calendar and blogs. Respond to online inquiries as needed.
  • Prepares and distributes weekly/monthly membership reports to the Executive Director and Director of Operations.
  • Enter all payments and donations in Salesforce.
  • Manage Senior Center membership services through personal contacts and outreach.
  • Assist prospective members and guests with information on services and programs and conduct tours of the facility. Recommend and participate in outreach efforts to identify potential new members.
  • Market membership benefits to achieve the goal of recruiting new members and retaining current members. Maintain and update membership database and proof Membership registration reports.
  • Generate monthly Membership Renewals, newsletter labels and membership cards. Maintain record of visitors and attendance sheets and prepare data required for monthly utilization and other reports as required. Collect membership, class and trip payments, and other program income.
  • Research and schedule trips and health topics for presentations and compile data, write copy and assist in proofing the Program Guide; Recommend classes and assist in identifying instructors to assist in program planning.
  • Attend and prepare Senior Center Advisory meetings. Manage postage distribution for Senior Center staff use.
  • Manage Petty cash and operate a credit card machine.
  • Recruit and schedule volunteers for special events and programs.
  • Assist Accounting Specialist with end of month payables to instructors (Independent Contractor Check Requests); distribute Independent Contractor Checks.

Education
High school degree required; post-high school computer and secretarial training preferred.

Experience
Prior receptionist experience, and computer experience including word processing and database management is required. Accuracy in accounts receivable required. Work experience with older adults is preferred.

Knowledge

  • Use of multi-line phones, copier, printer, fax.
  • Experience in Microsoft Word, Excel and Publisher.
  • Knowledge of our computer data base systems and data entry.
  • Good command of the English language and grammar.
  • Accuracy in accounts receivable required.
  • Use of the principles of good public relations.
  • Use of the problems and concerns of older people.

Abilities

  • To train and supervise a small staff of volunteers and AARP SCSEP clients.
  • To answer a multi-line phone in a friendly and efficient manner.
  • To greet members and visitors warmly and make them feel welcome.
  • To become familiar with Board members and other important persons.
  • To become familiar with Primeplus services that we offer. (i.e. membership fees, Adult Day Service fees and daily class activities).
  • To take payments, complete receipts, and payment forms.
  • To handle class registrations, mark participants and payments on attendance sheets.
  • To do data entry and check entries done by others.
  • To follow written directions, verbal instructions, and adapt work schedule as required.
  • To establish effective relationships with participants and staff.
  • To maintain approved standard of grooming and attire.
  • To be flexible, creative and show initiative.

Out of an abundance of concern in response to the current COVID numbers and for the safety of the senior community all staff are required to be fully vaccinated and they are required to wear a mask while in the building.
