Description
Overview
The Special Events Department is responsible for the production and logistical support of over 200 events annually, ranging in size, scope and scale and supporting both NYPL's internal events and initiatives and third party rental events. The internal events and partnerships produced by this department are critical to raising visibility and important funds for The New York Public Library, and Event support is essential to the operations of various internal departments including but not limited to Development (fundraising, donor relations), Communications and Marketing, Visitor Experience, Public Programs, and Government Relations. Revenue generated by our third-party space rental and beverage programs support the Library's indispensable collections, services, and outreach. As a respected leader in the New York City Events community, NYPL's Office of Special Events strives to produce some of the city's finest events, while helping sustain one of the world's premier nonprofit institutions. The Department is part of NYPL Operations, which also includes Capital Planning, Facilities, Finance, HR, IT, Security, and other teams key to the administration of The New York Public Library.
The Senior Beverage Operations Associate is a temporary part time position in the Office of Special Events, responsible for the daily execution of NYPL's Beverage program, as it relates to both internal and rental events. This position will collaborate with the Special Events team to coordinate all client relations, budgets, inventories, beverage offerings, and all day-to-day Beverage Operations for two fully licensed buildings.
This position is temporary through September 2024.
Responsibilities
  • Oversees the "end to end" beverage process, including selling from existing inventory, upselling to other existing packages, determining quantities and associated pricing, billing, liaising with the caterer before and during the event and all post event reconciliation relating to the bar.
  • Maintains client and vendor satisfaction pre- and post-event for both internal and rental events.
  • Represents The New York Public Library in direct client communications regarding beverage preferences, pairings and availability.
  • Consults and liaises with NYPL's Beverage Consultant as needed.
  • Independently coordinates all product inventory and circulation to include ordering and sourcing product, maintaining appropriate quantities in stock, keeping an "up to the minute" count of all house product and maintaining cleanliness and organization in all storage locations.
  • Assists in the adherence and application of State Liquor Authority rules and regulations in both licensed and unlicensed NYPL spaces.
  • Maintains specific fiscal responsibilities, including internal budget monitoring, bill paying, vendor cost negotiation, and projecting and reconciling beverage revenue.

Required Experience
  • Beverage industry knowledge to include:
  • Basic understanding of NYC Beverage landscape (including distributors, suppliers, etc).
  • Wine or beverage sales experience in any capacity
  • Expertise in wine varietals, regions and pairings
  • Excellent customer service skills with the ability to scale communications to inexperienced buyers
  • Must be seasoned in working within a fast-paced event-centric environment. Fine dining, Museum, Cultural Institution or luxury venue experience strongly preferred.
  • Ability to manage extended hours and weekend work required as necessary.
  • Basic comprehension of New York State Liquor Authority guidelines.
  • Experience with high net-worth clients and high-level budget management.

Required Skills
  • Familiarity with Provi or other beverage databases
  • Excellent attention to detail (to include inventory management, basic storage upkeep)
  • Organizational skills with the ability to multitask, prioritize and juggle a complex and varied portfolio of both internal and third-party clients, all with their own unique beverage priorities, needs, and timelines.
  • Ability to both listen and communicate effectively. Strong written, oral, interpersonal skills and proven customer service experience - to be applied at all levels: Library Staff, Senior Administrators, Library Trustees and donors, volunteers, Fortune 500 corporate representatives, non-profit organizations, private clients and vendors.
  • Can learn, apply, and speak to clients and vendors about the institution's procedures, policies, and protocols relating to bar service and possesses the confidence to make "in the moment" decisions with professionalism, discretion, and maturity.
  • Has demonstrated flexibility, reliability, and ability to work well under pressure.
  • Must be able to work both collaboratively and independently.
  • Must have a willingness to listen and learn.
