About the Position:

Stanford Libraries seeks a full-time Senior Associate Director of Facilities to oversee the management of a 9-10 member team, responsible for providing a broad array of building-related services across the Libraries’ 15+ geographically and functionally diverse facilities, totaling over 600,000 square feet of space. The team includes mid-level facilities managers, facilities specialists, and mailroom bargaining unit staff. Reporting to the Executive Director of Finance, Facilities & Planning, this position will lead department/unit strategic management efforts, effectively delegate work, successfully translate the goals of upper management into day-to-day operational results, participate in long-range capital project planning, and support a culture of diversity, equity, inclusion, and sustainability.

Services provided by the team include coordination of all building/equipment repair and maintenance, oversight of library security program (including building access, alarm monitoring, and video surveillance), mailroom shipping and receiving operations, physical asset and library collection moves, property administration, inventory management, emergency preparedness, and project management of capital planning initiatives.

Library facilities support multiple space use types, including academic library and patron-study spaces; secure collections storage (monitored via alarm and video surveillance 24x7); archival processing; physical, digital, and multimedia preservation labs; high-density, cold storage preservation facilities; academic and administrative offices; and warehouse-like storage spaces.

Buildings are located both on campus and off campus, including locations in Redwood City, Livermore, Newark, and Monterey. Facility locations are subject to change based on the needs of Stanford Libraries. This position must be willing and able to drive university vehicles to library locations throughout the SF Bay Area to provide onsite supervision of Facilities work and provide emergency response, as needed.

Core Duties*:

  • Oversee the management of assigned facilities and programs staff (technically, operationally, and administratively), including: planning and directing the operations of department(s); monitoring maintenance and environmental health & safety programs for timely completion and quality; overseeing staffing, performance evaluation, and staff management; forecasting department or division staffing needs.
  • Oversee stewardship of the Libraries’ physical infrastructure; when needed, identify new technologies, fittings, furnishings, and/or equipment fulfilling needs expressed by Library Executive Group members in support of improvements or initiatives of the Stanford Libraries; research comparable products and services, vendors, sources, pricing, and other relevant considerations, including supply chain management, indemnification, and similar.
  • Participate in annual and multiyear operational and capital project prioritization, planning, and funding; lead department/unit strategic management; may lead planning in some areas or segments; develop and review recommendations regarding short-term and long-range programs and projects, long-range financial and programmatic planning and development.
  • Communicate effectively, both verbally and in writing, with leadership, stakeholders, and staff.
  • Research and develop new initiatives and technology to improve service, enhance efficiencies, and realize system wide opportunities.
  • Manage and negotiate new and ongoing service and vendor contracts.
  • Develop and manage budget for assigned area(s).
  • Develop and review policies and procedures; interpret, manage, and enforce policies and procedures for assigned area; establish metrics and key performance indicators (KPIs).
  • Engage in continuous critical analysis of existing systems, workflows, and standard operating procedures (SOPs); recommend and implement approved solutions; champion change management initiatives.
  • Clarify and resolve complex problems spanning multiple areas or technical fields; collaborate with cross unit colleagues and other internal/external stakeholders; develop or oversee program implementation within assigned area.
  • Implement and oversee condition assessment programs. Manage assigned projects.
  • Coach and develop staff to grow and take on increasing responsibilities; evaluate performance and hold managers accountable for meeting established goals.

MINIMUM REQUIREMENTS:


Education & Experience:

  • Bachelor's degree in engineering or other appropriate technical area, or combination of technical education, training, and experience. Five or more years of extensive relevant professional and managerial experience in an environment with a variety of building types (administrative offices, classrooms, laboratories, residential & dining facilities, auditoriums, etc.).

Knowledge, Skills and Abilities:

  • Technical knowledge of best practices in facilities management discipline.
  • Demonstrated experience developing and managing budgets and service contracts.
  • Demonstrated experience planning, developing, and implementing programs.
  • Demonstrated experience understanding and applying relevant codes, regulations, and processes.
  • Demonstrated ability to practice sound judgment, juggle multiple priorities, and follow up on issues proactively.
  • Demonstrated ability to communicate effectively, both verbally and in writing, with leadership, stakeholders, and staff.

Physical Requirements*:

Frequently sitting, perform desk-based computer tasks, lift/carry/push/pull objects that weigh up to 10 pounds.

  • Occasionally stand/walk, twist/bend/stoop/squat, grasp lightly/fine manipulation, use a telephone, lift/carry/push/pull objects that weigh up to 11-20 pounds.
  • Rarely kneel/crawl, climb (ladders, scaffolds, or other), reach/work above shoulders, grasp forcefully, writing by hand, sort/file paperwork or parts, lift/carry/push/pull objects that weigh >40 pounds.

Working Conditions:

  • Requires 24-hour response availability seven days per week for emergency situations.
  • May be exposed to noise > 80dB TWA.

The expected pay range for this position is $142,000 to $194,000 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
