Job Description
Reporting to the Director of Donor Relations, the Senior Associate Director of Eventsand Experiences leads strategic donor and alumnae programs that promote innovative and global engagement, inspire philanthropic commitments, and ensure outstanding donor and alumnae volunteer stewardship.
The Senior Associate Director will independently oversee a portfolio of high-quality, high-impact experiences, responsible for logistical planning (catering, AV/lighting, space set-up and diagramming, décor and design, vendor contracts, etc.), guest management, content creation, volunteer management, on-site execution, and post-event reporting for assigned experiences and events.
The Senior Associate Director will partner closely with the Wellesley College Alumnae Association on all-alumnae events across the country. Additionally, they will work with the senior staff on national and international engagement opportunities featuring the President, Provost, and other cabinet members.
The Senior Associate Director will provide training and support for staff responsible for event execution, ensuring superior customer service and flawless execution of work from all staff members and vendors supporting Development events. They will collaborate with partners within Development, in Communications and Public Affairs, and across the College to develop compelling content, design, and marketing collateral (both digital and print) and to effectively brand and market Events and Experiences. The Senior Associate Director must also build and maintain a strong working knowledge of Wellesley College branding and style guidelines.
Position Responsibilities
Event Planning 50%
  • Develop and execute exceptional Events and programs for donors and alumnae, including special interest programming, presidential and senior leadership events, stewardship opportunities, and regional and international events to promote donor/alumnae engagement and the College’s priorities and programmatic initiatives at every level.
  • Collaborate with Development and Wellesley College Alumnae Association colleagues and event leads across campus for different events. Coordinate efficiently and effectively with other offices (President’s, Communication and Public Affairs, President’s House staff, etc.) and individuals on campus who participate in and produce Wellesley College events.
  • Serve as staff project manager for departmental initiatives with strong donor engagement components such as giving society Events and Campaign events.
Event Logistics 40%
  • Work with on-campus service-providing departments and outside vendors concerning the provision of services for events, including audio-visual services, negotiating prices, executing contracts, hotel and travel accommodations, and overseeing activities to ensure that the services are fulfilled. Provide advance set-up for events.Prepare event briefings in collaboration with the research team and prospect managers. Communicate with faculty and administrators regarding their participation in and/or attendance at events, and coordinate schedules and travel accordingly. Coordinate with volunteers who may be acting as hostesses or are involved in the planning and preparation of an event.
  • Manage the invitation and guest lists for all events, oversee production of related printed materials, and record event participation or relevant contact reports in the database. Provide oversight and staffing for and at events, including those development events hosted at the President’s House.
Other event duties as required 10%
  • Identify and work with faculty, alumnae, and staff who will be asked to participate as lecturers, discussants, or other significant roles in the programs. Serve as the primary contact for these participants, providing orientation, training materials, and support.
  • Work with Development, Wellesley College Alumnae Association, Communication and Public Affairs, and other College colleagues to oversee the production of development event-related collateral materials such as invitations, programs, signage, scripts, and other graphic material to enhance event goals.
  • Utilize technology to improve the team’s work and seek opportunities for improvements. Leverage existing technologies such as Blackthorn, Affinaquest Salesforce, and MailChimp.
  • Participate in team meetings, task forces, and committees as required. Back up other staff needs as necessary. Perform related duties as required.
Qualifications
  • Bachelor’s degree strongly preferred
  • 7-10 years of relevant experience or the equivalent combination of education and/or experience.
  • Possess the ability to competently and calmly handle multiple concurrent tasks and shifting timelines and priorities.
  • Must have excellent judgment and decision-making capability.
  • Ability to hold the big picture while focusing on details.
  • Ability to work as a team member and independently on projects.
  • Technologically savvy with strong word processing and data management skills; experience with Google Suite and technology platforms such as Affinaquest Salesforce, Blackthorn, CVent, and Eventbrite.
  • Ability to work nights and weekends when required. Able and willing to travel nationally and internationally.
  • Other duties as assigned.
